Responsibilities
- Aid in the preparation of high-quality prime and subconsultant proposals through the creation of marketing materials such as resumes, biographies, project descriptions, project photographs, and collateral materials.
- Maintain CRM and FMT databases by inputting and updating information on opportunities, projects, resumes, photos, and document templates.
- Track opportunities via IMS, DJC (Daily Journal of Commerce), and compile summaries of Capital Improvement Plans.
- Support the team with research, reports, and tracking documents.
- Assist with internal word processing – review, edit, and compile documents, file documents, and other items.
- Attend and take notes at miscellaneous internal meetings.
- Assist senior marketers with design award submissions.
- Order promotional items like business cards and office materials.
- Contribute to corporate marketing efforts on social media, website updates, and other company-wide requests.
- Coordinate internal events (quarterly events, conferences/exhibits, annual client nut drive, meat drive).
- Interact with and facilitate communications with staff, vendors, and clients.
- Support production staff as needed – greet office guests/vendors, order office supplies, answer multi-line phone system, coordinate catering, ship items, rent cars, etc.
- Run errands as needed on a weekly, monthly basis.
- Assist project managers with preparing project progress reports.
- Comply with Shannon & Wilson's Quality Assurance policy.
- Adhere to Shannon & Wilson's Health & Safety and Loss Prevention policies and procedures.
- Perform other duties as assigned by supervisor.
Requirements
- Bachelor’s degree in marketing, journalism, communications, or related field.
- 0 – 4 years of marketing experience with an Architectural/Engineering/Construction services firm.
- Strong analytical and organizational skills, with the ability to multitask and manage time effectively.
- Excellent writing, proofreading, editing, and document production skills.
- Creative with exceptional attention to detail and strong design sensibility.
- Superior communication skills, both written and verbal, to interact with clients, vendors, and staff at all levels.
- The ability to work independently with the appropriate level of supervision.
- Frequent sitting, standing, and walking (with or without accommodations).
Qualifications
- Must be able to work in a fast-paced, multi-tasking environment with a good understanding of the time-critical nature of proposals and other marketing tasks.
- Must be able to balance multiple deadlines and work effectively under pressure.
- Demonstrated proficiency in MS Word, Excel, PowerPoint, Outlook, and Adobe Acrobat.
- Basic knowledge and understanding of marketing and business development strategies.
- The ability to work independently with the appropriate level of supervision.
