About the Role

As a key support role within Orion’s Marketing team, you will provide high-level administrative and operational support to the Chief Marketing Officer (CMO) while also assisting the broader marketing leadership team across events, internal communications, public relations, content, media, and partner marketing initiatives. This hybrid role combines traditional executive assistant responsibilities with hands-on coordination and support across marketing functions.

The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced, creative environment. They are proactive in managing competing priorities, comfortable handling confidential information, and eager to contribute to a high-performing team. This role offers exposure to many aspects of Orion’s marketing strategy and is a great fit for someone interested in growing a career in marketing.

This is a hybrid role, with three (3) or more days each week required on-site at one of the listed office locations. Candidates should be located within a commutable distance to an office. Work location is subject to change based on business needs.

Responsibilities

  • Manage the CMO’s complex calendar, travel, and meeting logistics
  • Prepare agendas, materials, and follow-up items for internal and external meetings
  • Handle confidential information with professionalism and discretion
  • Track key projects and action items, ensuring deadlines are met
  • Coordinate expense reports and support with contract routing and documentation
  • Provide coordination support across the marketing department, including events, public relations, internal communications, content, and media
  • Assist with marketing initiatives such as speaker bureau scheduling, event sponsorship logistics, sales event logistics, media buy documentation, and media interview scheduling
  • Maintain team calendars, project timelines, and shared planning documents
  • Support tracking of key marketing projects, deliverables, and communications
  • Coordinate external vendor communications and logistics when needed
  • Assist the events team with internal and external event logistics, including scheduling, vendor coordination, and onsite support
  • Support culture-building initiatives and multi-day team meetings in partnership with marketing and events leadership
  • Manage event and meeting materials, catering, A/V coordination, and space reservations
  • Track and manage contracts requiring executive review and approval

Requirements

  • GED or high school diploma (required)
  • Bachelor's degree in Marketing, Communications, Business, or related field (preferred)
  • Minimum of one (1) year of professional experience (required)
  • Minimum of one (1) year of marketing experience (preferred)
  • Excellent time management and organizational skills
  • Ability to manage multiple priorities with urgency and accuracy
  • Excellent verbal, written, and interpersonal communication skills
  • Strong event planning and budget management skills
  • Experience coordinating and executing complex meetings and multi-day team events
  • High attention to detail, organization, and follow-through
  • Willingness to travel up to 5% annually
  • Ability to own and manage relationships with stakeholders directly and work effectively with people at all levels in an organization

Pay

The pay range for this role is $23.57 - $34.20 per hour. The pay listed may vary depending on geographic location, job-related knowledge, skills, and experience.
