About the role

The MAP Operations Manager is responsible for streamlining, updating, and maintaining systems to move work efficiently from intake through launch in the MAP (Marketing, Analytics & Product) Department of PGP. This person will reduce operational friction by creating infrastructure, systems, and best practices that enable developers, analysts, strategists, marketers, and program teams to collaborate effectively across dozens of concurrent initiatives. The role guides portfolio operations, workflow design, documentation management, quality assurance processes, resource planning, and operational reporting while helping the department adopt new procedures and technologies, including AI-enabled workflows, to improve speed, consistency, and quality so technical experts can spend more time creating value.

This role directly supports PGP's Marketing, Analytics & Product department and reports to the VP of Strategy, Marketing, Analytics, and Product.

Responsibilities

  • Core Responsibilities
    • Manage multiple projects from inception through delivery, anticipating needs, identifying next steps, managing competing priorities, and driving work forward to achieve successful outcomes.
    • Build and maintain dashboards, status reports, and leadership updates that provide real-time visibility into project and departmental performance, tracking status, priorities, dependencies, risks, and delivery timelines in Monday.com.
    • Own and continuously improve departmental workflows, standardized operating manuals, playbooks, templates, and documentation to strengthen consistency, efficiency, and organizational effectiveness.
    • Partner effectively with technical team members, applying a strong understanding of product development processes and timelines to translate requirements, coordinate priorities, anticipate and resolve dependencies, and support successful delivery.
  • Operations
    • Facilitate intake, prioritization, and project kickoff processes.
    • Identify and communicate delivery risks early and coordinate mitigation plans.
    • Track operational health metrics (project throughput, launch readiness, workflow efficiency, capacity utilization) to support quarterly planning and regular capacity management across the department.
    • Collaborate with the VP to review all department operations and build scalable processes that balance consistency with flexibility for diverse project types.
    • Recommend improvements based on trends and operational data.
  • Systems, Tools, & Innovation
    • Administer and improve project management systems (Monday.com and related platforms), recommending automation opportunities that reduce manual effort.
    • Design dashboards and reporting views that improve operational visibility and decision-making.
    • Identify opportunities to improve workflows using AI-enabled tools.
    • Pilot and document repeatable AI-assisted operational processes, including reusable prompts, templates, and workflow documentation.
    • Partner with department leadership to evaluate emerging technologies and support implementation of new operational tools.
  • Quality Assurance
    • Coordinate quality assurance processes across websites, campaigns, analytics deliverables, and digital products.
    • Maintain launch readiness checklists and cross-functional delivery standards, ensuring projects meet established operational standards before launch.
    • Maintain documentation of technical infrastructure, workflows, and product operations.
    • Coordinate with VP for product updates, content maintenance, and operational ownership.
  • Cross-functional Coordination
    • Coordinate across other PGP internal teams including Product, Editorial, Research, Programs, and Marketing.
    • Facilitate recurring operational meetings and follow-up actions.
    • Ensure decisions, documentation, and project updates remain visible across teams.
    • Support onboarding into departmental systems and processes.

Requirements

  • 5+ years of professional work experience with a minimum of 3 years in project management, marketing operations, product operations, agency operations, digital production, or related operational leadership.
  • Experience supporting digital products, websites, marketing campaigns, or analytics initiatives.
  • Experience coordinating multiple concurrent projects across cross-functional teams.
  • Strong organizational and documentation skills with excellent written and verbal communication skills.
  • Experience with a project management platform (Monday.com strongly preferred).
  • Demonstrated ability to improve workflows and operational processes.
  • Direct professional experience with AI tools such as ChatGPT, Claude, Gemini, or Microsoft Copilot.
  • Comfortable working in rapidly changing environments with competing priorities.
  • Experience working with technical staff teams or in technical products space.

Preferred Qualifications

  • Experience working with nonprofit, healthcare, communications, or technology organizations.
  • Experience documenting SOPs, operational playbooks, or quality assurance processes.
  • Basic understanding of website development, CMS platforms, digital marketing, or analytics workflows.
  • Experience facilitating cross-functional planning meetings.
  • Experience with integration tools like Zapier.

Pay

Salary range: $70,000–$80,000 (BOE).
