Marketing Admin Coordinator

Role & Responsibilities

  • Support the execution of marketing initiatives, branding campaigns, and business development activities across multiple channels.
  • Aid in creating, updating, and maintaining marketing materials, presentations, promotional content, and branded collateral.
  • Coordinate the production and distribution of marketing assets while ensuring consistency with company branding standards.
  • Manage relationships with marketing vendors, printers, promotional product suppliers, event partners, and other external service providers.
  • Afford support for company website updates, social media content scheduling, and digital marketing initiatives as directed.
  • Track marketing projects, campaign timelines, and deliverables to ensure deadlines are met.
  • Assist with the planning and coordination of company events, conferences, trade shows, networking opportunities, and employee engagement activities.

Administrative Responsibilities

  • Serve as the first point of contact at the front desk — welcoming visitors, managing incoming calls, and handling general enquiries professionally.
  • Manage day-to-day office operations including supplies procurement, facilities coordination, and maintenance of a tidy and functional workspace.
  • Oversee mail, couriers, and deliveries; distribute correspondence to relevant departments.
  • Cook up relationships with building management, cleaning staff, and service providers as required.
  • Maintain organised and up-to-date physical and digital filing systems for contracts, agreements, records, and correspondence.
  • Draft, format, and proofread official correspondence, memos, minutes of meetings, reports, and presentations.
  • Prepare and manage documentation for internal approvals, sign-offs, and compliance requirements.
  • Aid in data entry, database maintenance, and record-keeping to ensure accuracy and accessibility of information.

Calendar, Travel & Executive Support

  • Manage calendars, schedule meetings, and coordinate appointments for leadership and team members.
  • Arrange domestic and international travel including flights, accommodation, transfers, and itineraries.
  • Prepare meeting agendas, compile briefing packs, and distribute minutes and action items following meetings.
  • Provide day-to-day administrative support to senior leaders and cross-functional teams as needed.

Vendor & Procurement Administration

  • Coordinate with vendors and service providers for office supplies, equipment, printing, catering, and event logistics.
  • Obtain quotes, raise purchase orders, track deliveries, and process invoices in a timely manner.
  • Maintain vendor contact lists, contracts, and service agreements.

Event & Seminar Administration

  • Coordinate all logistical aspects of internal and external seminars, workshops, training sessions, and corporate events.
  • Manage registrations, attendee lists, venue bookings, catering orders, and equipment setup.
  • Aid in the physical setup and breakdown of event spaces, stalls, and display areas.
  • Prepare event materials, name badges, agendas, and post-event feedback forms.
