About the role
The Industrial Maintenance Parts/PO Clerk oversees maintenance parts inventory, processes purchase orders, and ensures efficient supply chain management for maintenance-related materials. This role involves coordinating with vendors, tracking inventory levels, managing purchasing documentation, and contributing to the smooth functioning of the maintenance department.
Responsibilities
- Maintain accurate records of maintenance parts inventory, including stock levels, usage, and reorder points.
- Conduct regular audits of inventory to ensure accuracy and identify discrepancies or variances.
- Assist in developing and implementing inventory control procedures to optimize stock levels and minimize excess or insufficient inventory.
- Generate purchase orders based on requisitions, maintenance schedules, and inventory levels, ensuring timely and accurate procurement of parts and materials.
- Collaborate with maintenance and procurement teams to review and validate purchase requisitions, specifications, and pricing before issuing purchase orders.
- Maintain a database of approved vendors, including contact information, terms, and negotiated agreements.
- Monitor order status, track deliveries, and communicate with vendors to ensure on-time delivery of materials, resolving any issues or discrepancies that may arise.
- Maintain organized and up-to-date records of purchase orders, receipts, invoices, and other procurement-related documentation.
- Generate regular reports on inventory levels, purchase order status, and spending trends to support informed decision-making and optimization of procurement processes.
- Analyze purchasing data to identify cost-saving opportunities, trends, and areas for process improvement.
Requirements
High school diploma or equivalent; additional education or relevant coursework in inventory management or related field is a plus. Proven experience in a similar role, preferably in an industrial or manufacturing environment. Strong proficiency in using computerized inventory management systems and procurement software. Detail-oriented with excellent organizational, analytical, and numerical skills. Effective communication skills and ability to collaborate with cross-functional teams and external vendors. Knowledge of procurement processes, inventory control, and basic accounting principles. Ability to work independently and manage multiple tasks with a high level of accuracy and efficiency.
