About the role

The Office Manager is responsible for personnel management and oversight of clinic operations, enforcing clinic policies and procedures, and managing the daily operations of the office.

Responsibilities

  • Manage daily operations, efficiency, and productivity of the office.
  • Provide daily oversight and guidance to employees.
  • Write monthly schedules for the Physicians and Mid-Levels.
  • Direct monthly meetings with Physicians to discuss office operations.
  • Conduct monthly meetings with staff on office policy and procedure changes.
  • Attend monthly meetings with Practice Managers within the organization.
  • Maintain a good working relationship with satellite offices management team and attend monthly meetings.
  • Meet with referring Physicians to increase business.
  • Aid patients with office, facility, and Anesthesia billing issues.
  • Resolve patient issues in-person or over the phone.
  • Work closely with Endoscopy Centers: efficiency reporting and staffing needs.
  • Prepare monthly reports for office and facility utilization to maximize efficiency and productivity.
  • Maintain Physician numbers to meet HITECH and AGA requirements.
  • Review résumés and interview applicants for staffing needs.
  • Retain employee files to document (i.e. personal data, reference checks, compensation, benefits, payroll information, attendance, performance reviews or evaluations, and termination date and reason).
  • Support staff when staffing shortage: answer phones, chart prep, scheduling, and rooming patients.
  • Credentialing for all provider associated hospitals and surgery centers.
  • Ensure correct billing for outpatient and inpatient charges for providers.
  • Ensure provider licenses are renewed in a timely manner and current at all times.
  • Travel between locations as needed.
  • Perform other duties as assigned.

Qualifications

  • Education: Bachelors Degree preferred.
  • Experience: Minimum of three-five years medical office management. Experience in internal medicine or GI is preferred.
  • Knowledge: Knowledge of clinic policies and procedures, medical terminology and insurance practices, computer programs and applications, CPT and ICD-10 coding, managed care, Medicare, and Medicaid guidelines.
  • Skills: Skill in effective personnel management including training staff and delegating duties, skill in written and verbal communication, ability to work effectively as a team member with physicians and other staff, ability to flexibly respond to changing demands, ability to plan, organize, prioritize and direct the work of others, ability to sort and file materials correctly by alphabetic or numeric systems, ability to establish and maintain effective working relationships with patients, employees, and the public, prior experience interviewing candidates and determining staffing needs, experience credentialing physicians and mid-level providers, experience managing patient issues.
