About the role

The primary role of this position is to assist the Chair of the Department of Physician Assistant Education (DPAE) with matters pertinent to department operations, budget, and to carefully monitor information which can impact the strategic direction and vision of the department. In collaboration with the Department Chair and Faculty, assist in the strategic development, supervision, and human resources management of the administrative staff within the department of Physician Assistant Education.

Responsibilities

  • Assist the Chair with matters pertinent to department operations, budget, and strategic direction.
  • Collaborate with the Chair and faculty on strategic development, supervision, and human resources management of administrative staff.
  • Assist in the development and creation of the initial yearly budget request of the Department Chair.
  • Prepare weekly, monthly, and quarterly financial and academic reviews as needed by the Chair and Dean.
  • Facilitate department operations, planning, and implementation of department goals and strategies.
  • Supervise department staff and student volunteers for completion of schedules, testing, grades, and communications with other campus offices.
  • Assist and relieve the workload of the Chair, including:
    • Development and implementation of a curriculum timeline of critical deadlines.
    • Monitoring of secretarial workload.
    • Decision-making in work-related areas when the Chair is unavailable.
  • Provide support by maintaining the Chair’s appointment calendar, setting up meetings, and managing vacation and travel schedules.
  • Update and maintain department files.
  • Assist the Chair in the development and monitoring of fiscal transactions, including:
    • Generating check requisitions, material requisitions, purchase orders, budget transfers, cash transfers, credit card expense reports, and honorariums.
    • Creating and maintaining contractual agreements between adjunct faculty and visiting guests.
  • Develop and process correspondence related to program activities, assist with reports, meetings, and general department responsibilities.
  • Assist with updating accreditation information, processing and analyzing surveys.
  • Organize, design, and manage special projects as assigned by the Chair.
  • Assist with the preparation, planning, compilation, completion, and submission of the re-accreditation self-study report and ongoing yearly accreditation activities.
  • Assist with preparation, planning, and attendance at department functions, conferences, recruitment events, admissions interviews, and graduation activities (some occurring on weekends/evenings).
  • Process work order requests from faculty and assign to office staff as appropriate.
  • Assist the admissions committee with interview activities.
  • Oversee the creation and planning of strategic growth and vision under the direction of the department Chair.
  • Participate in and serve on university and college committees as assigned by the Dean and/or program Chair.
  • Perform other duties as assigned or needed.

Requirements

  • Any combination of training or experience that provides the required knowledge, skills, and abilities for the essential job functions and/or equivalent experience.
  • A minimum of a bachelor’s degree is required.
  • 5 years of administrative/secretarial experience in an office environment using word processing, electronic data input/collection software, and databases.
  • Experience in health care and/or education is preferred.
  • Ability to interact with the public is essential.

Preferred Qualifications

  • A Master’s degree is preferred.

Skills

  • Good computer skills, including proficiency in Word, Excel, PowerPoint, and other required software programs.
  • Strong verbal and written communication skills.
  • Ability to effectively interact with administration, faculty, staff, and other contacts.
  • Experience with fax, copy machine, printer, and telephone operation.
  • Ability to make decisions and handle detail-oriented assignments with accuracy and consistency, with minimal supervision.
  • Ability to communicate in person, via telephone, Internet/Intranet, and email.
  • Ability to maintain confidentiality.
  • Commitment to working in an organization that values and promotes humanism.

Pay

Base salary: $83,416.38 annually (minimum and maximum target for new hire salaries). Within this range, individual pay is determined by factors including job-related skills, experience, relevant education or training, and work location.
