About the role
Efficiently organizes and supervises the administrative staff and activities at a school in coordination with school administration. Establishes a welcoming and friendly environment for receiving staff, families, students, and community.
Responsibilities
- Supervises all clerical staff in the building and performs activities related to pre-hiring practices for selected staff, including marketing of materials, obtaining lists of qualified applicants, and scheduling interviews and follow-up activities in consultation with the Business Manager.
- Establishes administrative and clerical processes that make the school office both an efficient and receptive environment for students, staff, parents and members of the community.
- Works with school administration to coordinate financial processes, including accounts payable/receivables, purchasing/receiving, journal entries and ledgers, account reconciliations, and other duties as directed.
- Works in conjunction with school administration to coordinate external communications, including community relations, school events, media releases, requests for community based assistance and District announcements.
- Researches and assists management in applying for grants associated with external funding for the school in collaboration and consultation with school administration.
- Maintains the calendar for school and administration under the general direction of the Business Manager or principal.
- Provides administrative and managerial tasks associated with IT-related tasks or community functions and manages efficient operation of a variety of office machines/equipment.
- Oversees the maintenance of records for students, staff, community, or alumni as required by school.
- Works in conjunction with school administration to develop an office budget, including supplies and instructional materials for all staff, and ensures all payrolls, financial transactions, or other related activities associated with the school budget are conducted in an accurate and timely manner.
- Researches and analyzes data/information, prepares reports using spreadsheets and databases, and shares relevant findings with school administration.
Requirements
- High school diploma or GED minimum required
- Bachelor's degree preferred
- 5+ years of progressive experience working with office processes and procedures
- 3+ years of supervisory experience
