Manager, Billing & Imaging
Overview
The Manager, Billing & Imaging for Truckload Solutions will oversee the billing and imaging lifecycle, ensuring accurate, timely, and compliant invoicing and documentation.
Responsibilities
- Billing Management & Revenue Assurance
- Lead the full billing cycle to ensure accurate, timely, and compliant invoicing.
- Maintain strong administrative controls and track key billing KPIs.
- Resolve disputes and discrepancies with AR, Finance, and Operations.
- Reporting & Analysis
- Prepare, validate, and distribute billing, revenue, and profitability reports.
- Analyze trends to identify risks, workflow gaps, and improvement opportunities.
- Profitability, Tariffs & Contract Administration
- Analyze profit margins and identify trends affecting financial performance.
- Maintain tariff structures and rating data within McLeod.
- Ensure accurate setup and compliance of customer and vendor contracts.
- Compliance, Risk Management & Audit
- Enforce compliance with customer requirements, internal controls, and regulatory standards.
- Oversee secure handling and storage of sensitive financial and customer data.
- Imaging & Documentation Oversight
- Oversee document imaging to ensure accurate capture, indexing, and storage of load documents.
- Maintain quality standards aligned with customer requirements and manage imaging queues for billing readiness.
- Develop and enforce SOPs while supporting system enhancements and automation.
- Vendor & Carrier Administrative Support
- Resolve vendor AP issues related to billing or documentation discrepancies.
- Partner with Procurement, Operations, and Finance to ensure accurate reconciliations and timely payments.
- Leadership & Collaboration
- Provide direction, coaching, and workflow oversight to a growing billing and imaging team.
- Partner across Accounting, Operations, Sales, and IT to ensure aligned, efficient processes.
- Serve as SME for billing, imaging, and administrative workflows, supporting onboarding and training.
- Education: Bachelor's Degree in accounting or finance (required)
- Experience: 3+ years transportation, logistics, or freight billing (preferred)
- Knowledge, Skills, And Abilities:
- Work experience with billing and reconciliation
- Medium McLeod TMS, imaging systems, and billing automation tools
- Medium Microsoft Excel proficiency (PivotTables, basic-to-moderate formulas such as VLOOKUP/XLOOKUP, SUMIF(S), data sorting/filtering, and report formatting)
- Excellent analytical, organizational, and communication skills
- Knowledge of billing workflows, administrative controls, and documentation requirements
- Ability to operate as a hands-on working manager in a small but growing department
- Ability to build and maintain billing/financial reports and distribute sensitive data with discretion and accuracy
- Ability to manage others

Qualifications
Wage Range
The wage range for this position is $91,710.00-$137,570.00 and may vary based on geography as well as relative knowledge, skills, abilities, and experience.
