About the role

This position is responsible for managing and performing a broad range of asset management tasks. These responsibilities include, but are not limited to, management of equipment lists, qualification status, equipment-related SOPs, contracts, and preventive maintenance records. Cold Storage maintenance, including LN2 freezer, mechanical freezer, lab refrigerator and controlled rate freezer maintenance, cleaning, decontamination, and materials inventory management is also in scope. This position interacts with vendors for equipment purchasing, qualification, preventive maintenance, and gas supply. Creates and stores maintenance and QC logs for all equipment at CCS (Rye) and NCBP (remote storage). CCS (Rye) and NCBP (remote storage) equipment are under the purview of this position. Plans and manages the decommissioning and relocation equipment, as needed. Creates requisitions for supply and equipment ordering. Manages ISENSIX Remote Monitoring System as a Master Administrator for CCS, including installation, maintenance, calibration, and replacement of ISENSIX equipment.

Responsibilities

  • Manage and perform comprehensive asset management activities supporting GMP and GTP laboratory operations, including equipment lifecycle management from acquisition through retirement.
  • Maintain and oversee the Master Equipment List, equipment records, qualification documentation, preventive maintenance schedules, service agreements, calibration records, and asset history documentation.
  • Develop, implement, and maintain asset management processes to ensure equipment reliability, compliance, operational readiness, and inspection preparedness.
  • Care for and oversee the maintenance, cleaning, decontamination, and inventory of: LN2 freezers, mechanical freezers, lab refrigerators, controlled rate freezers, and other GMP critical laboratory equipment.
  • Create and store maintenance and quality control (QC) logs for all equipment for: CCS, NCBP (where applicable).
  • Plan and manage equipment decommissioning and relocation as needed.
  • Create requisitions and process vendor invoices.
  • Tracks billing and payments.
  • Monitors spending and adherence to budget.
  • Administer the ISENSIX Remote Monitoring System (Master Administrator level) for NYBC, including: Equipment maintenance, installation of ISENSIX equipment, replacement of ISENSIX components, validation of environmental monitoring of rooms and equipment.
  • Provide training and technical support to end users.
  • Annual sensor testing (BLO and CCS).
  • SOP Revision.

Qualifications

  • High School Diploma.
  • Five (5) or more years in biomedical laboratory, warehouse inventory management, equipment maintenance, materials management, requisitions and invoicing, training in biomedical waste, SOP review, staff training, CO2 and LN2 handling.
  • Strong adaptability with electronic systems for inventory and SOP management.
  • Supervisory skills, contributing to technical SOPs and Policy manuals.
  • Basic knowledge of regulatory agencies’ requirements.
  • PC proficiency with MS Office Suite.
  • Understanding of work to be performed under aseptic and GMP regulations.

  • Ability to work collaboratively in a team environment.
  • Ability to be responsive and willingly available to management staff in order to address issues and concerns as they arise.

Pay

The proposed annual salary is $105,000.00 to $115,000.00 per year. For applicants who will perform this position outside of New York City or Westchester County, salary will reflect local market rates and be commensurate with the applicant’s skills, job-related knowledge, and experience.
