About the role

The Phoenix Fire Department is committed to providing the highest level of public safety services to our community. We protect lives and property through fire suppression, emergency medical and transportation services, disaster services, fire prevention, and public education. Our members will Prevent Harm, Survive, and Be Nice! The Fire Prevention Division is seeking a Management Assistant I to support the Fire Prevention Leadership Team. This position plays a key role in administrative coordination, operational support, staff supervision, stakeholder communication, and project management to help the division deliver exceptional service to the community.

Responsibilities

  • Assists Fire Prevention Leadership in hiring and recruitment activities, as well as budget development and procurement processes.
  • Supervises Fire Prevention Administrative Staff and consistently demonstrates excellent leadership qualities.
  • Works with Fire Prevention Leadership to support seamless service between external stakeholders and customers.
  • Supports Fire Prevention Leadership in setting meetings and managing communications with external stakeholders and customers.
  • Conducts research and surveys, analyzes operational and administrative data, prepares monthly and annual reports including Council documents, and develops operational procedures to improve methods and systems.
  • Interacts and communicates with department heads and City executives, offices of the Mayor and City Council, the media, other city, state and federal agencies, and the public on a routine basis.
  • Responsible for contract solicitations including drafting requests for proposal and requests for qualification.
  • Evaluates proposed organizational, policy, and procedural changes and manages related special projects as assigned.
  • Demonstrates superior seamless customer service, integrity, and a commitment to innovation, efficiency, and fiscally responsible activity.

The incumbent will be required to work Monday through Friday at the Fire Admin. building located at 150 S. 12th St.; teleworking is not an option.

Requirements

  • One year of experience in governmental research, finance, or public administration.
  • Bachelor's degree in public or business administration or a related field, and completion of required coursework for a master's degree in public administration, political science, or a related field.
  • Other combinations of experience and education that meet the minimum requirements may be substituted.
  • All finalists for positions are subject to a criminal background check applicable to the department or position.
  • Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license, and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or does not have personal insurance coverage.

Preferred Qualifications

  • Using Procure Phoenix or similar procurement systems, including initiating purchase requests and managing buying activities.
  • Creating official reports or memos for leadership.
  • Tracking data and trend lines to form reports and provide information for performance dashboards.
  • Supervising staff.
  • Project management.
  • Providing customer service in person and over the phone.

Pay

Pay Range: $64,313.60 to $104,728 annually.

Hiring Range: $64,313.60 to $78,166.40 annually.

Pay range is the entire compensation range for the position classification. Hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.

  • Promotions occur when the last two digits of the pay grade increase.
  • Demotions occur when the last two digits of the pay grade decrease.
  • Lateral transfers occur when there is no change to the last two digits of the pay grade.
  • When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit.
