Responsibilities
- Plan, organize, and manage the full lifecycle of maintenance work orders within the CMMS system.
- Review and evaluate incoming maintenance requests to ensure work is clearly defined, properly prioritized, and aligned with operational needs.
- Develop detailed job plans that include scope of work, task sequencing, labor estimates, required materials, tools, and safety considerations.
- Coordinate and communicate work assignments with maintenance technicians and follow up on job progress to ensure tasks are completed safely, efficiently, and according to plan.
- Review completed work orders for accuracy and quality, ensuring proper documentation and system updates are completed by technicians.
- Develop, implement, and continuously improve the preventive maintenance (PM) program.
- Identify opportunities to reduce recurring equipment failures and increase the percentage of planned maintenance work.
- Collaborate with operations, maintenance, and engineering teams to develop and maintain weekly maintenance schedules.
- Manage maintenance spare parts inventory to ensure accuracy, availability, and appropriate stocking levels.
- Coordinate vendor quotations, sourcing, and service activities, and manage relationships with external contractors supporting equipment repairs, inspections, and facility systems.
- Procure maintenance materials, parts, and external services in a timely and cost-effective manner.
- Ensure that purchase requisitions or orders are entered into the purchasing and CMMS system accurately and timely.
- Track purchase orders and deliveries to verify receipt of goods to ensure accuracy; then restock parts into the storeroom system.
- Research the specified quality, quantity, lowest possible price and seek approval on orders as needed.
- Support projects through vendor quoting, acquisitions, communications, delivery and transport.
- Maintain purchasing records and assist management with data analysis, record keeping, and record storage.
- Generate reports on a regular schedule to track maintenance performance, including work order status, PM compliance, planned versus reactive work, and parts inventory status.
- Identify opportunities to improve maintenance planning, scheduling, and execution processes.
- Serve as the primary user and functional owner of the CMMS system at the manufacturing site.
Qualifications
- 3–5+ years of experience in maintenance planning, maintenance coordination, maintenance parts room administration in industrial maintenance within a manufacturing environment.
- Hands-on experience with CMMS systems (such as eMaint and iMaint), work order management, preventive maintenance programs, and inventory control.
- Strong understanding of maintenance workflows, planning processes, and equipment reliability concepts.
- Experience managing spare parts inventory and procurement processes.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Proficient computer literacy in Microsoft Office applications, particularly Excel.
- Hands-on ERP system experience preferred (SAP, Epicor, or equivalent).
- Strong analytical, planning and organizational skills.
- Strong interpersonal and communication skills (oral and written).
- Self-starter with ability to work independently under pressure and react quickly to changing priorities.
- Manufacturing environment experience preferred.
- Minimal travel may be required (i.e., training and/or cross-site needs).
