Role Impact
The Maintenance Planner & Scheduler is an individual contributor responsible for supporting safe, reliable, and efficient plant operations through effective maintenance planning and scheduling. This role ensures maintenance work is properly defined, prioritized, and prepared for execution to optimize resource utilization and minimize equipment downtime. This position directly contributes to asset reliability and workforce productivity by improving work order quality, schedule readiness, and coordination between Operations and Maintenance. The role serves as a key point of coordination across functions to support consistent and disciplined execution of the maintenance work management process.
Responsibilities
- Support Safe & Compliant Maintenance Execution
- Ensure maintenance work is planned and scheduled in alignment with site safety procedures, permitting requirements, and regulatory standards
- Confirm work orders include required safety, environmental, and MOC considerations prior to scheduling
- Support safe execution by ensuring jobs are properly scoped and prepared
- Coordinate Work Intake & Validation
- Review incoming maintenance work requests for completeness, clarity, and correct asset information
- Collaborate with requestors to clarify scope or improve work request quality
- Support prioritization by applying defined criteria for safety, operational, and reliability impact
- Maintain accurate and organized backlog data
- Build & Maintain Maintenance Schedules
- Develop weekly and daily maintenance schedules using approved and planned work orders
- Ensure scheduled work meets “ready-to-schedule” criteria (materials, scope, permits, job plans)
- Sequence work to support efficient execution and minimize disruption to operations
- Coordinate with Operations to align on equipment availability
- Support Resource Planning & Coordination
- Assist in balancing workload across available labor and contractor resources
- Identify potential scheduling conflicts or resource constraints and escalate as needed
- Support visibility to upcoming work and resource needs
- Facilitate Communication & Alignment
- Coordinate with Operations, Maintenance, and other stakeholders to align on scheduled work
- Participate in scheduling and prioritization meetings
- Communicate schedule updates, changes, and constraints to relevant stakeholders
- Track Work Execution & Support Improvement
- Monitor schedule execution and update work order status in CMMS
- Track schedule adherence and document reasons for delays or changes
- Maintain accurate records of completed and backlog work
- Support continuous improvement efforts in work management processes
- Support Administrative & Reporting Activities
- Assist with maintenance reporting, including backlog and schedule metrics
- Support tracking of contractor work and related documentation
- Maintain data accuracy within CMMS/EAM systems
Requirements
- Experience in maintenance, planning, scheduling, or operations within an industrial or manufacturing environment
- Basic understanding of maintenance work management processes
- Experience using CMMS/EAM systems (e.g., SAP PM, Maximo, Infor)
- Strong organizational and coordination skills
- Ability to work effectively across functions and manage multiple priorities
Preferred Qualifications
- Technical background in mechanical, electrical, or instrumentation disciplines
- Experience in maintenance planning or scheduling support roles
- Familiarity with preventive maintenance and reliability concepts
- Experience working in a team-based maintenance or operations environment
