The Role
The Maintenance Clerk provides administrative and operational support to the Maintenance Department to ensure efficient execution of maintenance activities.
Responsibilities
- Create, update, and close maintenance work orders within the Computerized Maintenance Management System (CMMS).
- Maintain accurate maintenance records, equipment documentation, and compliance-related files.
- Manage maintenance-related shipping and receiving documentation, including Bills of Lading (BOLs), packing slips, and receiving records, ensuring timely and accurate processing, filing, and record retention.
- Support preventative maintenance scheduling and tracking activities.
- Request and compare vendor quotations for replacement parts, maintenance supplies, and project-related materials.
- Process stock replenishment requests and special-order requisitions to ensure adequate inventory levels.
- Receive inventory and special-order materials into the CMMS and maintain accurate inventory records.
- Organize and stock maintenance parts in designated storage locations.
- Perform routine inventory cycle counts and assist with inventory reconciliation activities.
- Track and document inventory transfers between locations and departments.
- Monitor open purchase orders and coordinate follow-up activities with vendors and internal stakeholders to ensure timely delivery.
- Cook up contractor visits, service appointments, and vendor communications as needed.
- Pick up parts and supplies from local vendors when required to support maintenance operations.
- Process purchase requisitions, invoices, and other maintenance-related documentation.
- Generate maintenance, inventory, and purchasing reports as requested.
- Support continuous improvement initiatives related to inventory control, maintenance planning, and departmental efficiency.
Requirements
- A high school diploma or GED.
- One year of administrative, clerical, maintenance support, inventory control, or related experience preferred.

- Ability to prioritize multiple tasks and meet deadlines.

- Basic math skills and ability to maintain accurate records.
- Experience using a Computerized Maintenance Management System (CMMS) preferred.
- Valid driver’s license required for local travel to vendor locations to pick up parts or supplies.
Working Conditions
- Repetitive motion including standing, walking, bending, reaching, and lifting throughout the shift.
- Exposure to moving mechanical equipment, forklifts, noise and other conditions typical of a manufacturing facility.
