Mailouts Specialist

About the role

The Mailouts Specialist is responsible for the preparation and distribution of legal notices, subpoenas, and related correspondence through physical mail channels. This role ensures that all outgoing mailouts are prepared accurately, mailed within required timeframes, and documented in compliance with applicable legal noticing requirements and internal quality standards.

Responsibilities

• Prepare and process outgoing legal notices, subpoenas, and related correspondence for physical mail distribution.
• Verify the accuracy and completeness of all outgoing documents prior to mailing, including addressee information and required enclosures.
• Ensure all mailouts are sent within required timeframes in compliance with applicable legal noticing rules.
• Document all mail activity accurately in DAS, including dates mailed, methods used, and any special handling notes.
• Coordinate with Client Services, Noticing, and SOP teams to ensure mailout requirements align with order status.
• Flag incomplete, unclear, or non-conforming mailout requests to the team lead for resolution.
• Maintain an organized supply of mailing materials and notify the appropriate team member when restocking is needed.

Qualifications

• High school diploma or equivalent required.
• Strong attention to detail and ability to follow multi-step mailing processes accurately.
• Familiarity with legal noticing requirements, subpoena processes, or records retrieval workflows preferred.
• Basic computer proficiency including Microsoft Office; experience with DAS preferred.
• Good written communication skills for internal coordination.
• Ability to manage high-volume, deadline-sensitive tasks with consistency and accuracy.

Pay

The base compensation range for this role will be $20.00-21.00 an hour and will be dependent upon the individual's location, skills, experience and qualifications.
