Mail Specialist
Job Summary
This position provides service and support regarding mail, film, records, supplies and special events.
About the Role
Essential Functions:
- Pick up, deliver and prepare all incoming and outgoing mail.
- Travel to outside local branch to pick up/deliver mail, travel to tag office to deliver/pick up documents for Consumer Servicing.
- Ensure funds are available in postage accounts.
- Renew PO box and Business Reply permits as necessary.
- Keep records of “IN/OUT” Certified mail, including express mail and ground packages.
- Prepare, sort, and deliver all express mail, make copies/create a record of incoming UPS express mail packages.
- Keep UPS Worldship program up to date.
- Keep UPS/FedEx shipping supplies on hand.
- Schedule FedEx ground pickups as needed.
- Fill/deliver supply request orders.
- Order supplies as needed to fulfill requisition requests.
- Deliver copy paper to various departments and monitor on hand supply.
- Maintain shred bins, switching out containers when they get full.
- Work with shred vendor on pickup days having bins pulled and ready for pickup.
- Perform an annual file purge from physical records storage.
- Identify boxes ready for destruction based on retention date placed on box, scan boxes and delete them from stored records program and place them in shred bins for pick up.
- Prepare and clean up meeting rooms and assist with special activity events.
- Keep breakrooms supplied.
- Keep first aid kits up to date.
- Perform monthly pool vehicle inspections along with servicing appointments as required.
- Perform other duties and responsibilities as assigned.

Knowledge of:
- Modern office equipment
- Technology and various software programs
- Read and interpret a variety of instructions furnished in written, oral, diagram, and schedule form
- Efficiently work under limited supervision
- Write reports and correspondence and to speak effectively before members, employees, and outside vendors
- Excellent communication and interpersonal skills to effectively work with members and co-employees
- Strong attention to detail and analytical skills
- Typing and personal computer

- Regular attendance and timeliness are essential functions of this position.
- While performing this job, the employee is regularly required to sit or stand for a significant period of time and perform functions that require manual dexterity.
- The employee must occasionally reach above or below normal body position, stoop or bend, and carry, lift or move objects weighing over 50 pounds.
- A normal range of hearing, vision, and speech are required to effectively work with co-employees and members.

Follows regulatory and policy compliance requirements, which include those efforts in compliance with Bank Secrecy Act (BSA), Office of Foreign Asset Control (OFAC) and Anti-Money Laundering (AML) Regulations, Identity Theft Red Flags and other compliance related Policies. This position also requires maintaining confidentiality with regard to non-public information about our members and the Credit Union.
