About the role
The Mail Prep Clerk sorts and prepares mail for distribution, ensuring accuracy in document preparation and adherence to established mail-handling guidelines. This position requires attention to detail, organizational skills, and the ability to work efficiently in a fast-paced environment.
Responsibilities
- Verify that items are addressed correctly, marked with the proper postage, and in suitable condition for processing.
- Sort and route incoming mail, and collect outgoing mail, using carts as necessary.
- Affix postage to packages or letters by hand or using postage meters.
- Determine the manner in which mail is to be sent and prepare it for delivery to mailing facilities.
- Seal or open envelopes by hand or using machines.
- Weigh packages or letters to determine postage needed, using weighing scales and rate charts.
- Lift and unload containers of mail or parcels onto equipment for transportation to sortation stations.
- Place incoming or outgoing letters or packages into sacks or bins based on destination or type, and place identifying tags on sacks or bins.
- Mail merchandise samples or promotional literature in response to requests.
- Read production orders to determine types and sizes of items scheduled for printing and mailing.
- Fold letters or circulars and insert them in envelopes.
- Accept and check containers of mail or parcels from large volume mailers, couriers, and contractors.
- Ensure documents assigned match those being prepared.
- Follow established guidelines to prepare documents for distribution.
- Open and sort packages, complete document preparation for each customer, and move on to the next task.
- Organize and distribute workload based on document type/application.
- Perform data entry tasks as required.
- Accurately record work order entries after preparing each batch of documents.
- Gain and apply knowledge of various document types through training.
- Lift packages weighing between 5-40 pounds.
- Perform other duties as assigned.
