About the Role
Medical assistants perform routine administrative and clinical tasks to keep the offices of physicians and other health practitioners running smoothly. They are instrumental in helping patients feel at ease in the physician’s office and often explain the physician’s instructions. Medical assistants are cross-trained to perform both administrative and clinical duties and are responsible for patient care under the direction of a physician or licensed health care provider.
Responsibilities
- Provides services to individuals and coordination/support to psychiatrists, PAs, and APRNs.
- Initiates and completes all relevant documentation within organizational time frames.
- Performs duties in a prioritized, organized, and orderly manner to maximize clinic efficiency and productivity.
- Collaborates with team members and other staff to ensure a complete, appropriate, and positive experience for all clients.
- Follows instructions and completes job duties as assigned by providers and management staff.
- Ensures medication history is accurate when taking vitals, removing all medications the patient is not currently taking.
- Performs genetic testing, educates patients, submits tests, and follows up on results for the provider’s next visit.
- Welcomes clients, ensures they are shown to examination rooms, and prepares them for the physician in a timely and welcoming manner.
- Performs medical assessments including blood pressure, height, and weight.
- Provides appropriate and timely documentation, including taking medical histories.
- Assists the physician and nurse with direct client care, filing, chart documentation, faxes, prescription medical programs, and telephone follow-up.
- Monitors voicemails throughout the day, returns calls, and resolves issues within 24 hours, documenting each interaction.
- Triages patient phone calls (incoming and voicemail) and documents interactions within 24 hours.
- Reviews Athena messages and inbox, responds, and documents accordingly.
- Discusses patient concerns with the provider within 24 hours of receiving calls, emails, voicemails, or messages, and documents appropriately.
- Takes medication orders from psychiatrists/APRNs/PAs, phones them into the pharmacy if needed, and confirms with the client within 24 hours.
- Prepares medication refill requests within 24 hours of receiving them, verifying pharmacy information, last visit, last fill, insurance, and pickup/mail details.
- Handles prior authorizations within 24 hours of receiving requests from pharmacies or insurance companies, documenting all interactions.
- Updates medications and respective information in patient charts.
- Provides guidance and education to patients on prescribed medications, including when and where to obtain them.
- Provides information for after-hours call lines and documents interactions in patient charts.
Requirements
- High School Diploma or Equivalent.
- One-year experience in healthcare or medical staff services preferred.
- Medical Assisting certification preferred.
Skills
- Proficient oral and written communication skills.
- Excellent attention to detail, problem-solving, and customer service.
- Positive interpersonal relationship skills with individuals and groups in various settings.
- Knowledge of medical terminology.
- Effectively uses Electronic Health Records (EHR).
- Knowledge of CPT & ICD-10 Coding procedures.
- Knowledge of medication procedures.
