Job Description

The Logistics Specialist is responsible for coordinating logistics activities that support the lifecycle management of company-owned devices, equipment, tools, and related inventory. This position ensures the timely shipment, transfer, tracking, maintenance, repair, calibration, and return of devices used across operational locations. The role serves as a primary liaison between internal stakeholders, field teams, vendors, and transportation providers to maintain device availability, minimize downtime, and support business continuity.

Key Responsibilities

  • Coordinate inbound and outbound shipments of devices, equipment, spare parts, and tools.
  • Manage transfers of devices between operational sites based on business needs and deployment schedules.
  • Track device inventory levels and support inventory reconciliation activities.
  • Maintain accurate records of device locations, status, ownership, and lifecycle information.
  • Monitor shipment progress and proactively resolve transportation delays or delivery issues.
  • Vendor & Service Coordination:
    • Manage device shipments to and from external service providers.
    • Track repair status and ensure timely return of serviced equipment.
    • Partner with vendors to monitor service levels, turnaround times, and logistics performance.
    • Maintain documentation related to shipping, repairs, calibration, and warranty records.
  • Calibration & Compliance Support:
    • Monitor calibration schedules for device management tools and equipment.
    • Clock in calibration services with approved vendors.
    • Maintain compliance records and ensure equipment remains within required service intervals.
    • Aid in audit readiness by maintaining complete and accurate logistics documentation.
  • Operational Planning & Reporting:
    • Develop and maintain logistics schedules supporting project deployments and operational activities.
    • Create reports and dashboards related to inventory, freight expenses, device utilization, repairs, and shipment performance.
    • Analyze logistics data and identify opportunities for process improvement and cost reduction.
    • Support forecasting activities related to equipment demand and deployment needs.
  • Project & Deployment Support:
    • Cook logistics activities for device rollouts, upgrades, software deployments, and field initiatives.
    • Collaborate with project teams to ensure equipment is delivered according to project timelines.
    • Aid in implementation readiness activities including shipping, receiving, inventory staging, and deployment planning.
    • Support cross-functional teams during large-scale device implementations.
  • Communication & Stakeholder Management:
    • Serve as the primary point of contact for logistics-related inquiries.
    • Provide regular status updates to Device Management leadership and project stakeholders.
    • Cook with operations, procurement, vendors, and field personnel to ensure smooth equipment movement.
    • Escalate critical logistics risks, delays, and inventory shortages as appropriate.

Qualifications

  • Education: Associate's or Bachelor's degree in Supply Chain Management, Logistics, Business Administration, Technical Operations, or a related field preferred. Equivalent combination of education and relevant experience may be considered.
  • Experience: 2–5 years of experience in logistics, inventory management, supply chain coordination, device management, or related operational support roles. Experience coordinating equipment transfers, shipping logistics, or field service operations. Experience working with third-party vendors and transportation providers. Experience supporting project-based logistics activities preferred.
  • Technical Skills: Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint. Experience with inventory management, ERP, asset management, or device tracking systems. Strong reporting and data analysis capabilities. Experience with Microsoft Teams, SharePoint, Smartsheet, or similar collaboration platforms preferred.

Working Conditions

  • Fast-paced environment with multiple competing priorities.
  • Occasional travel may be required.
  • Ability to lift and move equipment packages up to 50 pounds.
  • Extended hours may occasionally be required to support deployments and critical business operations.
