Position Summary
The Logistics Coordinator is responsible for acting as a liaison between the project team, equipment suppliers, and customers. On the logistics side, this position coordinates, quotes, invoices, and plans the shipping of all equipment to and from customers. On the administration side, this position generates order confirmations and updates project documentation. In addition, you will assist with some Project Administration duties.
Essential Duties and Responsibilities
- Check/Track unpaid shipping invoices and send out weekly emails to accounting & MD
- Update shipment costs on Vendor PO & cost tracking excel document when actual costs are shared by the vendor
- Delivery information confirmation sent to the customer 1 month prior to FAT – confirming delivery address, contact, receiving hours, or additional special requests that may be needed to achieve ultimate delivery
- Track FAT changes by asking Project Manager’s when an FAT is approaching
- ISF documentation provided to the selected freight forwarder
- Freight quote requests sent to freight forwarder
- Freight quotes and vessel options sent to customer for approval
- Potential tariff costs shared with the customer
- Vessel requests back to the forwarder after customer selection
- Filing PO’s, Delivery Info Confirmation Emails, Freight Quotes, and Approvals from customer in job folders on PNA server
- All sample shipments organized – pick-up & delivery
- Label samples when ready to ship
- Create Commercial Invoices and Packing Lists for sample shipments to factories & project shipments to Canada & Mexico for customer performed clearance
- Provide sales team with shipping quotes for Pattyn factory & 3rd party vendor equipment before a project sells
- Filing all shipment documentation on the server to the corresponding project folder
- Tracking all shipments, updating customers on status and changes to provided dates
- Sending packing list to customers after a vessel sails
Qualifications
- Education: High school diploma or equivalent required; additional technical or administrative training preferred.
- Technical Skills: Proficiency in Microsoft Office (Outlook, Excel, Word, OneNote, PowerPoint) and Intuit Quickbooks.
- Language: English
- Strong verbal and written communication skills.
- Able to manage multiple priorities in a fast-paced environment.
- Strong problem-solving skills and attention to detail.
