LOAD COORDINATOR 1ST SHIFT

About the role

Load Coordinator responsible for ensuring timely billing and paperwork, communicating with teams, training new members, meeting customer requirements (temperature, seals, Halal, bilingual, photos, temp recorders), handling export documentation, and completing invoicing.

Responsibilities

• Ensure loads are billed in a timely manner (no late loads by billing)
• Make sure heavy weights are received promptly and communicate with load coordinators, shag drivers, or supervisors to obtain weights
• Provide paperwork to transportation within 15‑20 minutes per average load (allowing longer for special loads such as large Jetro loads)
• Ensure Mesa loads are billed and given to transport promptly
• Communicate any issues from biller to load coordinator/supervisor
• Verify paperwork information (bill‑to, ship‑to, etc.) is correct
• Perform hand billing of loads when needed
• Assist in training new team members
• Ensure all customer requirements are met (correct temperatures, seals, Halal, bilingual, photos, temp recorders, etc.)
• Know and execute export requirements for all export customers, including Mexico (label making, document completion, slaughter certificate, Mexico grinds information, etc.)
• Complete invoicing and basic load coordinator duties: ensure loads are finished on time, communicate with corporate on shortages, communicate with Shipping Management on late loads, ensure exports are completed timely

Requirements / Skills

• Ability to hand bill loads correctly
• Skill in training new team members
• Knowledge of export requirements and documentation (including Mexico)
• Strong communication skills for coordinating with load coordinators, shag drivers, supervisors, corporate, and shipping management
• Attention to detail for verifying paperwork information (bill‑to, ship‑to, temperatures, seals, etc.)
• Ability to meet customer‑specific requirements (temperature control, seals, Halal, bilingual labeling, photos, temperature recorders)
• Capability to manage timely billing and paperwork flow (15‑20 minute average per load)
