Key Responsibilities
- Provide comprehensive secretarial and administrative support to a team of litigation attorneys.
- Prepare, revise, proofread, and format pleadings, motions, discovery, correspondence, and other legal documents.
- Handle electronic filing in California State and Federal Courts and ensure compliance with applicable court rules and procedures.
- Maintain attorney calendars and monitor court deadlines, hearings, depositions, and trial schedules.
- Cookordinate and prepare materials for depositions, mediations, arbitrations, hearings, and trials.
- Organize case files and maintain accurate electronic and physical records.
- Schedule meetings, conference calls, travel arrangements, and client communications.
- Process new matter intake and assist with administrative workflow management.
- Enter, review, and edit attorney time entries and assist with expense reporting and billing support.
- Work collaboratively with attorneys and administrative staff to ensure high-quality client service and efficient matter management.
Qualifications
- Minimum 5 years of litigation secretary experience within a law firm environment.
- Experience supporting commercial litigation and/or labor & employment practices.
- Extensive California State and Federal Court e-filing experience.
- Strong knowledge of court rules, litigation procedures, and docketing requirements.
- Advanced proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
- Exceptional organizational skills with the ability to prioritize multiple deadlines and assignments.
- Strong written and verbal communication skills.
- Ability to exercise sound judgment, maintain confidentiality, and function effectively in a fast-paced environment.
- Team-oriented mindset with a strong commitment to client service.
- Flexibility to work overtime as needed.
