Litigation Practice Coordinator

About the role

The Litigation Practice Coordinator will provide administrative and legal support to attorneys in the Labor & Employment practice area, as well as support for Venture Best Partners and Associates.

Responsibilities

  • Manage an active calendar of appointments, trials, discovery deadlines, meetings, video calls and travel plans on behalf of attorneys
  • File litigation documents in state and federal courts, including e-filing in all courts and agencies; prepare documents for service of process; prepare case “shell” documents for use by attorneys; verify all attachments, exhibits and enclosures are included with transmittal letters/memos
  • Electronic calendaring and docket management in CourtAlert
  • Proofread documents and check for appropriate formatting, spelling and grammar
  • Review all incoming mail, distribute to teams as needed and upload to the DMS
  • Process new client/matter documentation including initiation of conflict checks, input information into Firm's new business intake system and prepare engagement letters to clients
  • Compose and prepare confidential correspondence
  • Transcribe, type, edit, proofread, and finalize legal documents, pleadings, exhibit binders, correspondence, memos, charts, billings and reports from dictation, handwritten or existing documents
  • Maintain and organize both hard-copy and electronic files
  • Respond and resolve questions or concerns from clients and other attorneys in a timely and professional manner
  • Prepare and submit personal and client-related attorney expense reports and reimbursements into Firm’s expense management software
  • Create reports using Excel
  • Communicate with clients as to billing issues and status of matters
  • Cook up and coordinate requests and projects with other support departments (e.g., word processing, receptionists, office services)
  • Track and file continuing legal education credit for assigned legal staff
  • Support in civic, charitable, community, and professional activities
  • Supporting Venture Best Partners and Associates with scheduling, document filing, email and document execution duties as needed
  • Complete other duties as assigned

Requirements

  • Prior experience as a Legal Assistant and experience supporting Litigation attorneys is required
  • Technology Requirements: Technology literacy and willingness to learn new systems; Proficiency in Microsoft Office; iManage or similar electronic document management system; CourtAlert; DocuSign or similar e-signature programs; Time-tracking software; Expense management software; Electronic billing software; Adobe Acrobat
  • Adaptability: Ability to learn and embrace new skills and best practices as the position and Firm evolve; Ability to work quickly and accurately under pressure and varying deadlines; Ability to work well independently as well as effectively within a team; Ability to multi-task, set priorities, manage time effectively and exhibit excellent follow-up; Comfortable working with fast-paced, deadline-driven litigation

Qualifications

  • High School Diploma (or equivalent) minimally required; higher diploma or degree preferred
  • 2 - 3 years of experience in a legal environment, preferably in the litigation practice area
  • Professional demeanor and willingness to work proactively as part of a team across various practice groups
  • Exceptional communication skills (telephone, email, in-person)
  • Strong organizational skills with excellent judgment and attention to detail
  • Valid authorization to work in the U.S.
