Role Overview

This position provides support to counsel within the Legal department on general and specific legal matters. It works with others as part of a team to prepare and review exhibits and other documentation for administrative hearings, including State Fair Hearings (“SFH”) with the Pennsylvania Department of Human Services, Bureau of Hearing and Appeals (“DHS/BHA”) and to coordinate coverage for attorneys, witnesses and other participants. It also assists with tracking data relating to administrative and legal matters for use by internal stakeholders.

Responsibilities

  • Assist legal counsel and others in managing litigation files and deadlines and coordinating with outside counsel
  • Manage high-volume calendar, coordinating attorney and witness coverage for administrative matters, including State Fair Hearings
  • Gather exhibits or other necessary documentation and prepare submissions to administrative agencies, including DHS/BHA
  • Process documents received from DHS/BHA and other administrative agencies and outside counsel, including creating or adding to appropriate electronic files, entering data/updating tracking spreadsheets and providing necessary reporting to internal stakeholders of required actions
  • Assist with preparation and/or review of documents, creating initial drafts for attorney review; proofreading documents prepared by attorneys and others
  • Track court deadlines, filings and important dates

Requirements

  • Associate’s Degree (paralegal or related studies) OR Paralegal Certificate required
  • 5+ years must include experience with administrative hearings, preferably relating to health care appeals
  • 3+ years of administrative and/or healthcare experience managing calendars and case files required
  • Experience working with ALJs, state agencies, advocacy groups, or external counsel required
  • Strong writing skills with the ability to synthesize clinical and administrative information into clear arguments
  • Exceptional organizational skills, accuracy, and ability to meet strict deadlines
  • Proficiency with case management systems, appeals platforms, and Microsoft Office
  • Experience supporting Medicaid managed care, state administrative hearings, or healthcare grievances and appeals
  • Proficiency with Microsoft Office applications, LexisNexis and Legal Tracker
  • Notary Public commission preferred but not required
