About the role
A brief summaryAs a Line Producer, you are responsible for the tactical execution of physical production for our client’s global esports events. You will translate creative and operational direction into executable plans. Managing budgets, schedules, crew and vendors to deliver events safely, efficiently and to a high standard.
Responsibilities
- Budgeting & Financial Management
- Build, manage, and reconcile event budgets in collaboration with Production Lead, Lead Producer, Finance team, and contract Production Accountant.
- Track all production and labor costs, ensuring expenses remain within approved scope.
- Evaluate vendor bids, negotiate rates, and identify cost efficiencies without compromising client standards.
- Review and ensure quotes have captured all the requests/needs.
- Deliver transparent reporting and timely updates on budget status.
- Maintain detailed crew and labor cost breakdowns integrated with vendor and travel budgets.
- Track overages tied to crew headcount, overtime, or rate adjustments.
- Scheduling & Production Planning
- Develop and maintain detailed production schedules (load-in, build, rehearsals, show days, load-out).
- Cross-department dependencies and crew calls.
- Ensure all partners and vendors operate within the approved timeline.
- Crew & Vendor Management
- Oversee all crew staffing operations in partnership with the contractor Crew & Staffing Production Manager (can span multiple vendors).
- Approve crew hires, rates, deal memos, and timecards within internal and regional labor guidelines (can span multiple vendors).
- Proactively raise consistency gaps in vendor deals and proposals.
- Ensure compliance, payroll accuracy, and cost tracking for all crew hires.
- Maintain visibility into headcount, roles, and labor costs across departments and vendors.
- Collaborate with the FTE Line Producer to standardize crew hiring templates, rate benchmarks, and reporting tools.
- Source and manage production vendors and freelance crew, overseeing call sheets and crew check-in/out.
- Ensure vendor deliverables baseline product requirement., safety standards, and budget constraints.
- Crew PM Oversight
- Directly manage assigned contractor Crew & Staffing Production Managers.
- Review and sign off on all labor-related documentation prepared by Crew PMs.
- Escalate payroll or compliance issues to Supervising Line Producer and Finance and the Gravity Media SDM for any Gravity Media staffing or hires.
- Ensure the crew experience meets both the Client’s welfare and conduct standards on-site and Gravity’s criteria for Gravity Media staffing or hires.
- Agency & Department Collaboration
- Collaborate closely with Production Lead, agency partners, and other Line Producers to align execution.
- Support event departments (Lighting, Audio, Scenic, LED, SFX, BOH Ops, Logistics) with clear coordination and documentation.
- Health, Safety & Compliance Awareness
- Be aware of safety protocols for crew and vendors onsite.
- Be aware of compliance documentation and worksite safety oversight in partnership with The Safety Team.
- Report incidents promptly and ensure corrective actions are implemented.
- Directly report any safety issues to the Gravity Media SDM for Gravity Media staffing or hires.
- On-Site Management
- Key contributor on the team, leading the day-to-day production operations during load-in, show days, and load out.
- Troubleshoot onsite issues swiftly, escalating only when scope or cost implications arise.
- Maintain calm, organized, and professional presence under pressure.
- Documentation & Post-Event Reporting
- Maintain up-to-date budget sheets, schedules, and crew documentation.
- Deliver post-event cost reports and production notes to Production Lead.
- Contribute to the evolution of production standards and templates.
Qualifications
- Significant experience as a Line Producer or Production Manager on large scale live events (sports, music, esports, broadcast).
- Proven ability to build and manage multi-million-dollar budgets and large crew teams.
- Deep understanding of production departments, crew structures, and vendor ecosystems.
- Skilled at vendor negotiation/RFP process/post event invoicing, staffing, scheduling, and financial reporting.
- Strong leadership and communication skills under tight timelines.
- Have a valid passport and be eligible/able to travel up to 5 weeks at a time.
Desired
- Familiarity with international freight and customs.
- Proficiency with budgeting and scheduling tools (Movie Magic, Showbiz, Airtable, Smartsheet).
- Knowledge of broadcast and technical production integration.
- Understanding of sustainability and environmentally responsible production practices.
- Experience managing union and non-union crews (if applicable by region).
