Program Specialists in Lifelong Learning connect the University of Utah to adult learners (18+) across the state through in-person and online classes that promote personal exploration, growth, and community engagement. We program approximately 500 adult enrichment classes a year, spanning visual and performing arts, current events, recreation, wellness and relationships, literature, and more. We celebrate our community and foster campus connections and belonging for anyone who wants to learn, working towards creating a better pathway for all people to engage and work together in celebration of our differences and lived experiences.

Responsibilities

  • Purchasing & Accounting
    • Coordinate with instructors and colleagues to procure class materials and calculate special fees based on anticipated costs.
    • Process instructor payroll in accordance with university policies, procedures, and deadlines.
    • Receive and reconcile purchases and invoices to ensure accurate financial records.
    • Process invoices, purchasing card (PCard) transactions, and other program-related payments in accordance with university procedures.
    • Compile semester program and expense data, prepare financial summaries, and provide recommendations to support data-informed review of special fees and program costs.
  • Instructor & Student Support
    • Communicate promptly and thoroughly with instructors regarding required class materials, syllabi, handouts, and class needs.
    • Respond to student inquiries and provide guidance throughout the course lifecycle.
  • Class Coordination
    • Facilitate setup and support for classes, including materials preparation and instructor assistance.
    • Monitor and run classes, enroll/drop students, and manage class logistics.
    • Be present for evening and Saturday sessions as scheduled.
  • Administrative Duties
    • Maintain accurate records in spreadsheets and databases in coordination with the team.
    • Answer phone calls and monitor the Lifelong Learning email inbox in coordination with the team.
  • Program Development
    • Assist in catalog creation, maintenance, and distribution.
    • Collaborate with team members to identify and implement improvements.
  • Team Collaboration
    • Participate in weekly meetings and contribute agenda items related to program enhancements.
    • Cross-train with other coordinators to ensure coverage during absences.
    • Collaborate with colleagues in the creation of social media content to support marketing efforts.
    • Work well with colleagues and support a positive team culture.

Requirements

Equivalency Statement: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).

  • Requires a bachelor's degree (or equivalency) + 6 years or a master's degree (or equivalency) + 4 years of directly related work experience.

Skills

  • Strong organizational, analytical, and communication skills
  • Experience in customer service, purchasing, and invoice processing
  • Familiarity with adult education or community programming
  • Proficiency in Microsoft Office 365 tools and Salesforce
  • Ability to work independently and manage multiple priorities
  • Availability for evening and weekend work

Schedule

A flexible schedule is important. Classes take place on weekday evenings and on Saturdays. The anticipated schedule, which includes a 1-hour lunch break, is:

  • Monday through Thursday: 10:00 am – 7:00 pm
  • Fridays: 8:00 am – 5:00 pm
  • At least one Saturday a month

Hybrid Work Opportunity: Employees must reside in the state of Utah but will have the opportunity to work a hybrid schedule of in-person and remote work.

Pay

$45,000 - $54,000
