Role & Responsibilities
- Independently plan, coordinate, and manage the day-to-day functions and services, anticipating needs, and handling sensitive and confidential matters with discretion and professionalism.
- Understand of municipal government and how the two different branches of government interact.
- Experience in developing local government policy.
- Perform projects as assigned and trained by direct manager and Council Leadership.
- Provide high-level administrative support to all seven Councilmembers, including heavy calendar management, records maintenance, crafting resolutions, correspondence drafting, and email oversight.
- Conduct research and policy analysis to support Council initiatives and legislative decision-making and assigned projects; collect, compile, and interpret information.
- Attend weekly Tuesday Council meetings in-person – includes Committee of the Whole (starts at 4:30 p.m.), Special Meetings (between COW and evening session), and evening sessions (starts 7:00 p.m.) – note taking, ensuring accurate follow-up on action items and coordination (e.g., order dinner for Councilmembers when needed).
- Attend all Council agenda-settings and regular sync meetings with Council Leadership; take detailed notes and follow up on action items.
- Serve as primary liaison between Councilmembers and internal staff, community members, and external stakeholders, fostering clear communication and efficient collaboration.
- Coordinate and track responses to constituent emails by working with the monthly Council Ombuds, coordinating responses with staff members, ensuring timely resolution and maintaining comprehensive records throughout the process.
- Manage meeting requests from Councilmembers, including logistics, scheduling, location coordination, agenda preparation, note-taking, and tracking post-meeting action items (e.g., subcommittee meetings).
- Monitor and manage Public Records Requests on behalf of Councilmembers, ensuring compliance and timely delivery.
- Regular maintenance and updating of the Council SharePoint site.
- Track and report on the Council’s biennial budget using Microsoft Power BI, providing updates and support for budget-related processes.
- Cooky/coordinator of Council-hosted community events, Council retreats, and citywide events throughout the year.
- Manage logistics, secure venues, arrange catering, and track registrations.
- Work directly with the Communication staff to ensure marketing, flyers, and posters are managed and on track with timelines.
Qualifications
- Associate’s Degree or high school diploma / G.E.D. with 2 years of college level coursework.
- Five years of progressively responsible administrative support experience.
- May require relevant certification or higher education coursework as it pertains to the department/division.
