About the role
Kutak Rock seeks a Legal Secretary in its Little Rock office. This position will provide executive administrative support to multiple attorneys in our corporate department, with emphasis on public company securities and M&A. This position plays a vital role in the day-to-day operations of a high-volume corporate practice group, managing confidential communications, complex calendaring, client relationships, and transactional documents.
Responsibilities
- Cook up and manage an active calendar of meetings, client calls, internal briefings, and transaction closings; prioritize and resolve scheduling conflicts with poise
- Serve as a trusted point of contact for clients, stakeholders, and internal teams; manage email correspondence and draft professional communications
- Aid in the preparation, formatting, and proofreading of deal-related documents, closing binders, board materials, and NDAs, often under tight deadlines
- Arrange complex domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries
- Track billable hours, coordinate monthly billing processes, and assist with time entry, expense reimbursements, and invoice follow-ups
- Organize and maintain client and deal files (physical and electronic), ensuring document version control and secure recordkeeping
- Build strong rapport with key corporate clients, anticipate client needs, and uphold the firm's high standard of client service
- Provide logistical and administrative support on corporate transactions including M&A, financing, and governance matters
- Handle highly sensitive and confidential information with the utmost discretion and professionalism
- Assist with and maintain attorney continuing legal education (CLE) records and bar association memberships
- Assist with other duties as assigned
Qualifications: Skills and Abilities
- Ability to work under pressure of deadlines while managing multiple priorities with urgency and discretion
- Ability to prioritize, organize, and multitask with a keen attention to detail
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office products (Word, Excel, Outlook, PowerPoint); experience with legal billing and document management software (e.g., Intapp, NetDocuments) a plus
Qualifications: Education and Experience
- High School degree or equivalent required; bachelor’s degree, comparable experience, or paralegal certification preferred
- Minimum of 5 years of experience supporting senior executive or partner, preference given to corporate and transactional law firm experience and experience in public company matters
- Arkansas Notary Public certification preferred
Position Information
- Status: Non-Exempt
- Salary Range: $45,000-$60,000 Per year, commensurate with education and experience.
