About the role
As the first point of contact for clients, attorneys, and outside partners, you'll play a critical role in delivering an exceptional client experience while keeping the firm's daily operations running smoothly. Responsibilities
- Serve as the first point of contact by answering and directing incoming calls with professionalism and empathy
- Schedule appointments, maintain attorney calendars, and coordinate meetings and deadlines
- Communicate effectively with prospective and existing clients, opposing counsel, vendors, and other legal professionals
- Provide administrative support to attorneys and legal staff across multiple matters
- Prepare, proofread, scan, organize, and electronically file legal documents
- Assist with correspondence, document summaries, and client communications
- Maintain accurate electronic case files and contact databases
- Support data entry, billing, and document management activities
- Utilize firm software and legal technology to support daily operations
- Help ensure deadlines are met through effective calendar management and follow-up
- Handle sensitive and confidential information with professionalism and discretion
Requirements
- Minimum of 2 years of experience as a Legal Receptionist or in a similar law firm administrative role
- Excellent verbal and written communication skills in English
- Strong organizational skills with exceptional attention to detail
- Experience managing busy phone lines in a professional office environment
- Proficiency with Microsoft Office, including Word, Outlook, and Excel
- Strong typing, time management, and multitasking abilities
- Ability to work independently in a fully remote environment while collaborating effectively with the team
- Professional demeanor with excellent client service skills
- High level of reliability, accountability, and discretion
Preferred Qualifications
- Fluency in Mandarin or Cantonese
- Experience with MyCase, RingCentral, or other legal practice management software
- Familiarity with court e-filing systems and legal document management
- Associate's or Bachelor's degree
- Experience supporting Family Law or Civil Litigation practices
