Key Responsibilities
- Coordinating and managing calendars, meetings, and travel logistics for senior executives
- Prioritizing engagements and optimizing time utilization
- Organizing and supporting governance and administrative tasks, including board materials, contract routing, records management, and expense reporting
- Facilitating end-to-end meeting coordination, including agenda preparation, invites, materials distribution, and follow-ups
- Ensuring accurate and timely handling of administrative operations to enable seamless leadership functions
Requirements
- Experience supporting C-suite or senior executives as an Executive Assistant or in a similar role
- Experience managing complex executive calendars and scheduling meetings across multiple stakeholders
- Experience coordinating executive travel logistics, including flights, hotels, and itinerary changes
- Experience organizing meetings end-to-end, including agendas, invites, materials distribution, and follow-ups
- Experience with administrative operations such as contract routing, records management, and expense reporting
- Proficiency with Microsoft 365 (including Outlook), Google Workspace, Teams or Zoom, and document management tools
- Authorized to work in the United States
Preferred Qualifications
- Experience supporting an executive leadership team
- 1-3 years of combined experience as an Executive Assistant, Paralegal, or Legal Assistant in a corporate or law firm environment (Preferably supporting executives within the construction industry or a heavy-industry corporate environment)
- Experience managing sensitive legal correspondence, tracking billable hours, and reviewing legal documents
- Strong background in drafting and reviewing legal documents, contracts, and subcontracts relevant to construction law (e.g., lien waivers, compliance forms)
- Bachelor's degree or equivalent professional experience
- Proficiency with expense reporting tools such as Concur
