Key Responsibilities
- Member and Matter Coordination
- Open, organize, and maintain member legal files in accordance with firm procedures and confidentiality standards.
- Track key dates, deadlines, and milestones across active matters, flagging items that need attorney or advisor attention.
- Serve as a point of contact for members regarding document status, appointment scheduling, and general inquiries.
- Prepare, proofread, and format legal documents, correspondence, and estate planning packages for attorney review.
- Scheduling and Calendar Management
- Coordinate attorney and advisor calendars, including member appointments, signings, and internal meetings.
- Schedule and confirm document signings, notarizations, and witness appointments.
- Manage conference room bookings and logistics for in-person and virtual member meetings.
- Document and Records Management
- Maintain accurate, organized digital and physical filing systems for legal documents and member records.
- Process incoming and outgoing mail, filings, and document requests in a timely manner.
- Assist with data entry and updates in the firm's legal practice management and case tracking systems.
- Team and Process Support
- Partner with the Law Office Operations Lead to identify and improve administrative workflows.
- Support billing and invoicing preparation by compiling time entries, expenses, and supporting documentation.
- Aid in onboarding new members into the legal service line, including intake paperwork and file setup.
- Provide general administrative support to attorneys and advisors as needed.
Qualifications
- Associate's degree or equivalent experience required; paralegal certificate or related coursework a plus.
- One plus years of experience in a legal, financial services, or professional office setting preferred.
- Strong organizational skills with the ability to manage multiple deadlines and priorities simultaneously.
- Excellent written and verbal communication skills with a member-focused mindset.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with legal practice management software.
- A high level of discretion and professionalism when handling sensitive and confidential information.
- A strong attention to detail and follow-through on tasks from start to finish.
- The ability to work both independently and collaboratively within a fast-paced legal team.
