About the Role
The Legal / Compliance / Administrative Coordinator supports daily legal operations and franchise compliance across our system. This role manages legal and compliance document organization, maintains internal trackers, coordinates policy acknowledgements and required training, and supports policy workflow tracking. The ideal candidate is detail-oriented, responsive, and trusted with sensitive information.
Responsibilities
- File and organize legal, insurance, and compliance documentation in the appropriate electronic folders
- Maintain internal compliance and documentation trackers to support system-level accuracy and reporting
- Track policy acknowledgements and maintain version control
- Distribute monthly compliance training notices and reminders, and schedule required policy training
- Create system users, manage access permissions, and process location ownership transfers as requested
- Validate and maintain the master license record as the system's single source of truth
- Acknowledge incoming reports promptly, guide Franchise Owners through required process, and maintain accurate case tracking
General Administrative Support
- Handle incoming phone calls and respond to customer emails
- Coordinate meetings, scheduling, and calendars across departments
- Support and help manage monthly system-wide calls, including scheduling, materials, and minutes
- Manage distribution of system communications
- Order and manage office supplies
- Address building management issues as they arise
- Support overflow administrative tasks as needed
Requirements
- 2+ years of experience in legal administration, franchise compliance, or another multi-unit environment
- Demonstrates ability to manage spreadsheets and tracking systems with high data integrity
- Exceptional discretion and judgment with confidential and sensitive information
- Strong proficiency in Microsoft 365 Suite, particularly Excel/Sheets
- Comfort operating in shared-drive, document-management ecosystems
Preferred Qualifications
- Paralegal certificate or prior legal department support experience
- Franchise or multi-location brand experience
- Experience coordinating compliance training or policy rollouts
