Responsibilities
- Provide legal and administrative support to attorneys and paralegals across multiple practice groups based on coverage and workload needs.
- Prepare, format, proofread, and revise legal documents, correspondence, transmittal letters, and other materials.
- Maintain and organize physical and electronic client and matter files.
- Absorb and coordinate with clients, financial institutions, title companies, and other parties for commercial and residential loan closing matters, including reviewing documents for completeness and accuracy.
- Absorb and assist with litigation matters, including document preparation, filing, and case file management.
- Cook up and coordinate meetings, appointments, and other scheduling needs.
- Communicate professionally with clients, opposing counsel, financial institutions, title companies, and other external parties.
- Enter attorney time and billing information and assist with related billing and invoicing tasks as needed.
- Perform document management, scanning, copying, electronic filing, and other administrative functions.
- Provide front desk coverage as needed, including answering and directing incoming calls and greeting visitors.
- Assist with special projects and other administrative assignments based on departmental and Firm needs.
Qualifications
- 2+ years of legal assistant or comparable law firm experience.
- Bachelor’s degree preferred, but not required.
- Experience supporting commercial and residential loan closings and litigation matters strongly preferred.
- Proficiency in Microsoft Word, Outlook, and Excel; experience with legal document management and practice management systems preferred.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities and transition effectively between attorneys, assignments, and practice areas.
- Ability to work independently while collaborating effectively as part of a team.
- Professional judgment, discretion, and a strong client-service orientation.
