Responsibilities
- Aid in editing and proofreading correspondence, contracts, agreements, and other complex documents.
- Prepare, submit, and maintain weekly time records.
- Set up, maintain, and keep files current, including classifying, arranging, filing, and storing information.
- E-file documents in state and federal courts, and other applicable agencies.
- Maintain daily workflow, prioritize tasks, and manage projects to meet deadlines. This includes scheduling meetings, managing calendars, processing expense reimbursements, and communicating with clients and attorneys.
- Act as a liaison between attorneys and various office departments, ensuring smooth communication and collaboration.
- Provide excellent client service by greeting guests, scheduling meetings, and supporting clients.
- Support attorneys by proactively addressing their needs and responding to requests with urgency.
- Demonstrate flexibility and the ability to handle multiple priorities simultaneously.
- Assist in managing client contacts, emails, and print documents, as well as processing incoming mail.
- Communicate clearly and professionally in a concise manner.
- 3+ years of legal administrative support experience is preferred.
- Familiarity with general processes, systems, and methods of mid-to-large-sized firms.
- Effective communication skills, both oral and written.
- Proficiency in software systems such as Microsoft Office 365 (Word, Excel, Outlook, PowerPoint, Kofax), DMS/iManage Desksite, Aderant, LMS+, Workshare Compare.
- Strong organizational and multitasking abilities.
- The ability to build and maintain positive relationships with attorneys, clients, and colleagues.
- A high level of attention to detail in proofreading documents.
- Creativity and the ability to work independently.
- Exceptional organizational skills and a strong work ethic.
