About the role

We are seeking a Litigation Legal Assistant to manage day-to-day administrative needs effectively and efficiently in our fast-paced environment. The successful candidate will be a proactive professional with exceptional organizational skills, excellent written and oral communication abilities, and the ability to exercise the utmost discretion. This role supports a busy team of professionals in a uniquely positive office culture.

Responsibilities

  • Actively manage complex schedules, agendas, Zoom meetings, calendars, travel, contact lists, and files.
  • Compose memos, letters, business agreements, closing documents, and other correspondence for internal and external audiences.
  • Perform a variety of administrative functions, including opening new matters and conflicts checks.
  • Manage proforma and billing activities for attorneys, working closely with the finance department.
  • Collaborate effectively with assigned professionals to keep them informed of upcoming commitments, schedule changes, and preparation needs for meetings.
  • Manage day-to-day workflow while juggling multiple priorities simultaneously.
  • Calendar court deadlines on attorneys’ calendars and the firm’s Case Management system.
  • Prepare filings with state and federal courts and agencies.
  • Prepare presentation materials for meetings using MS PowerPoint, Word, and Excel.
  • Handle attorney annual license renewals and monitor attorney annual CLE compliance with regulatory authorities.
  • Quickly identify, prioritize, and resolve problems of varying nature with minimal direction.

Requirements

  • 3+ years of litigation experience.
  • Tenacious in meeting deadlines with a strong sense of timeliness, decision-making, and self-management discipline.
  • Technologically savvy with expert knowledge of Microsoft Office Suite 365.
  • Excellent written and verbal communication skills.
  • Superior interpersonal skills and the ability to collaborate effectively with employees at all levels and clients.
  • Ability to work discretely with confidential information.
  • Proactive, accountable, and possessing excellent judgment.
  • Detail-oriented with the ability to work in a fast-paced environment while minimizing errors.
  • Adaptable to change and able to remain calm under pressure.

Office Setting

  • Computer-based work.
  • Ability to lift, push, and pull up to 15 lbs.
  • Sit/stand for extended periods of time.
  • Reliable in-office attendance with a hybrid work environment (four days in the office – Wednesday anchor day).
