About the role
The Legal Administrative Assistant will provide general office support for our Litigation & Disputes attorneys and paralegals. This will include maintaining and organizing files, managing appointments and calendaring deadlines, proofreading and formatting documents, and utilizing case management software to keep cases organized.
Responsibilities
- Assist attorneys in organizing and managing case files, including maintaining document databases and electronic records.
- E-filing in federal, state and local courts.
- Proofread and format legal documents including routine pleadings and motions, affidavits, and interrogatories, files motions and pleadings according to judicial procedures.
- Maintain calendars for attorneys and paralegals, including scheduling appointments and calendaring all relevant deadlines.
- Process invoices, reimbursements, check requests, and conflict checks as needed. Prepare engagement letters, memos and other relevant documentation.
- Communicate directly with clients via email and/or phone.
- Record attorney time in iTimekeep system.
- Answer incoming calls and route as appropriate.
Requirements
- Minimum of high school diploma required.
- 2+ years of litigation administrative experience required.
- Highly organized with strong attention to detail.
- Project and case management skills, including a strong aptitude for managing and prioritizing multiple projects and deadlines.
- Excellent written and verbal communication skills as well as analytical, problem solving and decision-making skills.

Physical Requirements:
- Sitting position, static for up to one-half hour at a time, up to six hours per day.
- Standing and walking regularly, up to two hours per day.
- Lifting and carrying up to 20 pounds occasionally.
- Bends and stoops occasionally, up to one-half hour per day.
