Leave of Absence Coordinator
Serve as the point of contact
Serve as the point of contact for assigned leave cases, providing holistic case management services, including reviewing medical documentation to adjudicate leaves in compliance with the corresponding leave plans, federal and state laws, and benefit plans as defined by ABM and union CBAs
Responsibilities
- Support high volume caseload, providing a frustration-free experience for team members with an assessment of their request and providing guidance on the process, roles and responsibilities, and timelines
- Initiate and respond to incoming and outbound calls, emails, and system notifications about leave and disability events, benefits, and options available to team members
- Leverage duration guidelines, best practice tools, ABM resources, and laws and regulations to support oversight of a leave event and ensure compliance as appropriate
- Critically assess and adjust the case management plan to a team member’s changing needs, including responding to issues and removing barriers that may arise before, during and after the leave event, and ensuring the right communication occurs
- Educate managers and business partners on team member concerns and needs both verbally and in writing
- Identify and solve problems that may arise, sometimes with limited information
- Facilitate a smooth return to work process and ramp-back plan for team members returning to the workplace
- Consult, coordinate and partner with vendors and cross-functional teams and systems as appropriate
- Effectively utilize systems, tools, and resources to maintain complete and accurate records
- Address sensitive situations and preserve confidentiality of team member information and files
- Escalate issues to the proper management resource as appropriate
- Maintain knowledge of applicable leave and accommodation laws including the FMLA, ADA/ADAAA, and CA state and local laws
- Maintain established performance goals and metrics, and work to ensure the LOA team meets performance targets and complies with service level agreements
- Collaborate with field to initiate interactive process when restrictions are received and ensure a satisfactory team member experience
Qualifications
- High school or equivalent education required; Bachelor’s degree from an accredited university preferred
- 3+ years of experience managing cases and providing leave of absence and accommodation support to employees, including using case management systems, reviewing cases for eligibility, determining the appropriate leave or disability pay benefits that apply to a specific situation, and establishing/executing a case management plan
- Completion of specialized certification or training on FMLA/leave administration or accommodations is a plus
- Experience providing guidance to employees or managers on leave of absence, disability, accommodation, human resources, and benefits matters
- Experience working multiple projects or cases independently and a demonstrated ability to prioritize, manage, and complete work/projects with tight deadlines
- Understanding of FMLA, ADA, statutory leaves and disability processes, policies and laws
- Technical aptitude and hands on experience with HR and case management systems; Oracle HCM and ServiceNow preferred
- Proficient use of Microsoft Office applications
- Ability to build strong relationships and influence others while working in a cross-functional environment
- Excellent communication, presentation, and interpersonal skills, both verbal and in writing
- Ability to thrive in a dynamic, growing environment with minimal direct supervision
- Demonstrated sound judgment, critical thinking, and problem solving in activities requiring analysis, investigation, and planning
- Strong time management and ownership of deliverables
- Able to work independently and with minimal direct supervision
