Leasing Consultant

Middleburg is hiring an experienced Leasing Consultant to manage the leasing process and assist with resident relations. Responsibilities
- Manage all aspects of the leasing process, including leasing apartments, maintaining availability lists, responding to inquiries, qualifying prospects, showing apartments, and preparing move-in paperwork.
- Generate interest in the community by touring prospects, answering questions about amenities, local community, and property details.
- Maintain market, demographic, economic, and community knowledge through monthly telephone surveys and bi-monthly physical shops.
- Use on-site property management software (e.g., RealPage, OneSite) to track apartment availability, record traffic and leasing activities, manage resident/prospect data, and capture demographic information.
- Recommend programs and strategies to increase qualified traffic and closing ratios.
- Promote resident and business referrals and conduct outreach programs.
- Develop and monitor merchant/neighborhood referral programs for move-in packets, newsletters, and resident retention.
- Telemarket, cold-call, set appointments, and proactively contact prospective businesses.
- Follow up with prospects and new residents within 2 hours via emails, thank-you notes, cards, or calls to finalize leasing or renewal decisions.
- Ensure timely and accurate entry of prospect and resident data into the software system.
- At move-in, inspect the apartment with the new resident, complete move-in inspection forms, and review leasing paperwork and property rules.
- Manage the lease renewal program by preparing renewal letters/packages, tracking lease expirations, recording notices to vacate, and interviewing residents about renewal decisions.
- Ensure lease renewal documents are signed, implemented, and fees/deposits are collected on time.
- Comply with Fair Housing regulations and property-specific occupancy standards.
- Execute marketing activities to drive traffic and create a lasting first impression.
- Maintain market knowledge through weekly inquiries and monthly physical market shops.
- Review collateral and advertising, and recommend market strategies to the Community Manager and Marketing department.
- Deliver exceptional service to residents to exceed expectations and maintain retention.
- Assist in planning and preparing resident functions.
- Walk the property to assess curb appeal and overall appearance.
- Advise the Community Manager of conditions affecting resident safety, satisfaction, or property preservation.
- Be available for emergencies, resident functions, community events, and weekends.
Requirements
- High school diploma or equivalent; Bachelor’s degree preferred.
- 1+ years of customer service or sales experience; previous leasing experience is a plus.
- Excellent verbal and written English communication skills.
- RealPage experience preferred.
- Basic computer skills in a Windows environment, including internet navigation, applications, and property management software.
Physical Requirements
- Frequent use of telephones and computers.
- Must be able to walk apartments and grounds, including steps.
- Occasional lifting of up to 20 pounds.
- May require driving a golf cart.
Schedule
Will normally work weekdays and weekends; hours may vary to meet business needs.
