About the role
The Leasing Consultant will be responsible for reviewing and auditing move-out files, processing resident refunds, and ensuring lease-related documentation is complete, accurate, and compliant with company policies and regulatory requirements.
Responsibilities
- Audit move-out files to ensure all charges, damages, and security deposit dispositions comply with applicable state regulations and company policies.
- Within required timelines, compare assessed move-out charges to completed Change of Occupancy Maintenance (COM) work to confirm repairs or replacements were completed.
- Review resident ledgers and supporting documentation (e.g., MIMO/BAH reconciliation forms, move-out inspections, and work orders) to validate charges passed through to the resident.
- Confirm all charges are supported by appropriate documentation, including photographic evidence, repair scope descriptions, and work order details; identify and resolve any unsupported or overcharged items.
- Process corrections and issue refunds for overcharges or unsupported items in accordance with required timelines, ensuring residents receive any owed refunds promptly.
- Maintain detailed records of audit findings, documentation, refund actions, and resident communications.
- Respond to resident inquiries by providing supporting documentation (e.g., photos, work orders, invoices) and ensure all communications are documented and shared with appropriate stakeholders.
- Audit displacement cases to confirm customer service standards are maintained throughout the process and verify lease accuracy, including proper documentation of renter’s insurance.
- Partner with onsite teams and support departments to improve the resident experience during displacement events.
- Audit lease files for accuracy, completeness, and compliance with company policies and regulatory requirements.
- Verify that lease terms, resident information, addenda, and supporting documentation are accurately reflected in the system of record.
- Ensure renter’s insurance documentation is collected, current, and properly maintained in resident files.
- Identify missing or incomplete lease documentation and follow up with the appropriate team members for resolution.
- Support compliance reporting and provide recommendations for process improvements based on audit findings.
- Prepare reports or summaries for management regarding findings, risks, and corrective actions.
- Recommend process improvements to strengthen file quality, lease compliance, and customer service consistency.
- Assist with training and guidance for team members on documentation standards, audit readiness, and compliance expectations.
Requirements
- High School diploma or GED.
- 1 - 3 years of Required Work Experience.
- A current vehicle license in good standing and meet the driving records standards outlined in the Company Safe Vehicular Operations Policy.
- Strong attention to detail and ability to identify discrepancies or missing information.
- Excellent organizational, analytical, and problem-solving skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Current enrollment in a U.S. Trusted Traveler Program required.
Preferred Qualification
- Associate’s degree in a Business related-field.
- 2+ years of experience in property management, lease administration, compliance, resident accounting, auditing, or a related field preferred.
- Experience reviewing lease files, move-out documentation, or resident financial records preferred.
- Knowledge of renter’s insurance requirements, lease compliance standards, and resident file documentation practices is a plus.
- Proficiency in Microsoft Office and property management software such as Yardi or similar systems preferred.
