Lead Document Controller Assistant
Key Responsibilities
- Manage deliverables templates and project-specific tracking lists for all project disciplines.
- Via active tracking and audits, ensure on-time completion of deliverables.
- Collaborate with Proposal Management, Project Management, and Project Controls/ Scheduling to monitor bid/project progress and proactively identify risks.
- Expedite LNG team deliverable reviews and responses, both internally and with external parties including customers and suppliers.
- Track on-time submittal of supplier documents versus purchase order requirements.
- Consolidate and prepare technical requisition packages for major project equipment purchases.
- Serve as lead/power user for the LNG Document Management System (DMS).
- Contribute to development and troubleshooting of DMS platform functionality via reviews and testing.
- Receive training from Honeywell IT and platform owners, cascade that training to LNG users, and support roll-out of platform functions and updates.
- Serve as lead/power user for other internal Honeywell platforms such as legal database, management of change system, nonconformance system, etc.
- Maintain knowledge libraries and technical references for LNG disciplines.
- Ensure compliance with document review and approval requirements.
- Provide data for Key Performance Indicators (KPIs).
Qualifications
- YOU MUST HAVE Associate’s degree in Business Administration, Engineering, or a related field preferred. Equivalent professional experience is also acceptable in lieu of a degree.
- Minimum 3-5+ years of experience in professional administration or a business support function.
- Demonstrated capabilities to manage multiple projects, a high quantity of documents, and multiple stakeholders in parallel and in a timely fashion.
- Demonstrated capabilities to manage tracking lists and dashboards for clear communication of project status.
- Strong organizational and communication skills.
- Experience with Document Management Systems and work processes.
- Experience with intellectual property digital protection and management.
- Experience with Microsoft Office tools.
- Excellent interpersonal skills, with ability to foster collaboration among diverse commercial and engineering disciplines.
- Highly motivated with the ability to work efficiently in a dynamic environment with competing priorities.
- Commitment to continuous improvement and professional development.
- Ability to manage conflicts and maintain positive working relationships.
- Willingness to pursue personal and professional development through training and certification courses.
