About the role
Provides support to the College of Osteopathic Medicine of the Pacific (COMP) and the Heatherington College of Osteopathic Medicine (HCOM) Office of Academic Affairs (OAA) by scheduling, assisting, and managing the Pre-Clinical curriculum. Performs specialized and technical work and executes special assignments as requested by the OAA. Works closely with COMP and HCOM team members on daily curriculum activities. Provides support for CPM shared curriculum. Coordinates and supports curriculum and assessment related duties. Provides students with information regarding curriculum requirements.
Responsibilities
- Leadership Functions:
- Provides direction and training to Curriculum Coordinators.
- Coordinates with OAA Pre-Clinical Leadership, Pre-Clinical faculty, and staff to facilitate task distribution and monitor daily department workflow.
- Coordinates exam proctoring coverage.
- Classroom Support Functions:
- Coordinates with Pre-Clinical faculty and staff to provide classroom support for the curriculum including room reservations, curriculum calendars, scheduling in-person and virtual sessions, maintaining webcast recordings, tracking attendance, and technical support.
- Ensures accuracy within the Learning Management System (LMS).
- Assists with the organization of course documents and materials, exam pre- and post materials, and materials related to course activities such as small groups, labs, workshops, online modules, etc.
- Serves as a proctor for exams and examination review periods.
- Assessment Functions:
- Prepares and maintains data spreadsheets related to student attendance and conference week related activities.
- Monitors course deadlines and works closely with the Pre-Clinical team members to ensure efficient delivery of the curriculum.
- Customer Service Functions:
- Monitors and responds to faculty and student emails through Outlook, Teams, and the student ticketing system.
- Coordinates with visiting instructors regarding upcoming sessions.
- Networks with other departments outside the college related to curricular activities.
- Report Functions:
- Oversees the process in creating student groupings for curricular purposes (small group, labs, etc.) and ensures the upload to the LMS.
- Produces and maintains student data pertaining to attendance and course credit.
- Financial Functions:
- Coordinates with Pre-Clinical budget representative to ensure prompt payment of contracted workers and vendors, and to purchase department supplies.
- Other:
- Attends, assists with and participates in WesternU, COMP, and department events/activities as directed.
- Performs other related duties as assigned or requested.

- Computer skills necessary to set up and edit document formats in Word, Excel, PowerPoint, SharePoint, Outlook and any other software programs required by this position.

Requirements
- Education: AA degree and/or combined experience/education as substitute for minimum education.
- Experience: 3–5 years of clerical office experience.
Preferred Qualifications
- Education: Bachelor's degree.
- Experience: 5+ years of experience as an Administrative Assistant/Associate or Executive Assistant.
Pay
- Expected pay scale minimum: $26.07 hourly
- Expected pay scale maximum: $27.27 hourly
