Lead Contract Processor – Travel Required

About the role

We’re looking for individuals who instill confidence, trust, and respect in those around them, encourage success, and build relationships. This position provides advanced technical guidance and support to all Contract Administration team members and Sales Leadership in the field. You’ll ensure adherence to department processing timelines, state/federal regulations, SOX, and PII compliance while maintaining a strong customer service experience.

Responsibilities

  • Act as a supervisor in the absence of one, answer escalated issues, and provide clear instructions.
  • Assist team members with accurate and timely data entry and contract document preparation for all sales contracts.
  • Maintain smooth daily process flow by removing obstacles and guiding escalated items.
  • Reassign tasks to maximize personnel efficiency and meet department processing timeframes.
  • Perform contract entry, document creation, and closing tasks as needed.
  • Train new and existing team members on process updates, new processes, and cross-training.
  • Maintain knowledge of contract entry, preparation, and processing of timeshare purchase documents, warranty deeds, affidavits, and authorization forms.
  • Facilitate day-of-sale verification of equity, deed, account status, exchange information, financial status, and owner usage.
  • Review owner accounts to collect and post outstanding balances for mortgage, late fees, and maintenance fees in various software applications.
  • Understand business rules related to contract generation (e.g., upgrades, reloads, refinances) to answer questions and provide direction.
  • Keep management informed of issues in a timely manner and assist with workload to avoid backlogs.
  • Help create and maintain department Standard Operating Procedures (SOPs).
  • Perform administrative functions such as auditing contract files, data entry, copying, filing, sorting, and scanning.

Supervisory Responsibilities

  • Train new hires, monitor workflow, and provide task direction.
  • Collaborate with leadership and other departments to resolve escalated issues.

Requirements

  • High School Diploma or GED equivalent.
  • 1+ years in a supervisory or team lead role, with demonstrated leadership and team development skills preferred.
  • 3+ years in contract preparation experience in a related field.
  • 3+ years of cash handling experience.

  • Ability to work weekends and late shifts as needed.
  • Strong problem-solving skills with the ability to resolve issues quickly and accurately.
  • Ability to multi-task and work well under pressure and time constraints.
  • Effective communication with frontline employees and leadership.
  • Adaptability to constant workload changes.
  • Detail-oriented and well-organized.

Schedule

Requires travel to support Sales at company sites and other locations as business needs dictate. Schedules vary and may include nights, weekends, and holidays. Flexibility to work outside of standard departmental operating hours is required.
