Duties & Responsibilities

  • Manage team by providing guidance, coaching, and oversight of duties, defining goals, communicating objectives and monitoring team performance.
  • Assess the capacity, productivity, quality, as well as the ability of the Support Staff and Paralegals to meet attorney needs.
  • Aid in staff maintenance through recruiting, selecting, orienting, promoting, handling employee grievances or discipline, and any necessary terminations.
  • Verify and approve timekeeping records and consult employees about any discrepancies.
  • Document performance feedback and other personnel matters.
  • Report to division management currency dates for all major work items on a weekly basis or as requested.
  • Maintain record of assignments, attorney calendars, and paralegal schedules so that the department may provide optimum and continuous support on all assigned cases.
  • Directly oversee case management by ensuring files are organized, deadlines are managed, and cases are kept on track.
  • Develop, update, adjust and maintain legal processes and procedures and support file handling and workflow in conjunction with management for continuous timely, efficient, and best practice work efforts in response to fluctuations in workload, staffing, and last-minute staff attorney requests.
  • Improve service quality by gathering regular feedback from attorneys and company business units. Coordinate with casualty department to effectively and efficiently meet the needs on each file assigned.
  • Directly assist attorneys with legal matters and oversee paralegal work.
  • Design and implement systems and processes to conduct research, gather/organize medical records, and produce legal documents for attorneys.
  • Regularly track, report, and adjust service based on metrics.
  • Develop and monitor an efficient workflow, training, and QA process for all work in the office.
  • Oversee submission and payment of vendor invoices while directly addressing all problem invoices with vendor.
  • Complete any assigned special projects.

Requirements

  • High school diploma, or equivalent, with related experience demonstrating the knowledge, skills, and abilities necessary to perform the essential functions of the position.

Skills & Qualifications

  • Strong knowledge of civil litigation process.
  • Experience and ability to redistribute work as necessary to effectively deal with the fluctuating work demands of a fast-paced litigation practice and the ability to adapt to requests that come up on cases with limited notice.
  • Proficient personal computer skills including electronic mail, record keeping, routine database activity, Microsoft Word, PowerPoint and Excel.
  • Strong, effective, and professional oral, listening, and written communication skills.
  • Good leadership skills with tactful, professional manner under pressure.
  • Strong documentation, attention to detail, organizational, time management, skills.
  • Ability to set and prioritize workflow, shift priorities as necessary, follow through on open items, and meet deadlines on multiple projects.
  • Sound problem solving skills.
  • Ability to teach and train support duties.
  • Ability to work independently and in a team environment and adapt well to changing work environment.
