What information do we collect?

  • Your CV will be automatically processed when you submit the application form and the data will be stored in the applicant database.
  • Your attachments are processed with text recognition software and the recognised content is saved to your data record.
  • Your original documents are converted to PDF documents and also saved to your data record.
  • Your original files are deleted.

When your application documents are sent by e-mail, they are automatically read out and recorded in our applicant management system. All documents sent along with your application (cover letter, curriculum vitae, certificates and other proofs) as well as the information contained therein are saved.

If you send us your application documents in person or by post, we first digitize them and then also record them in our applicant management system. We will then destroy the original documents.

Processing of special types of personal data

We do not actively collect any special types of personal data (pursuant to Art. 9 DSGVO). If your submitted application contains data that fall under Art. 9 DSGVO, by submitting your application you consent to the processing of this data only to the extent necessary for the application procedure.

Who processes your data?

The applicant portal is operated by concludis GmbH, Frankfurter Str. 561, 51145 Cologne, Germany. The applicant portal is hosted on servers of Hetzner Online GmbH, Industriestr. 25 in 91710 Gunzenhausen. Your CV will be automatically processed by the parsing tool of Textkernel BV. The parsing takes place on a server in Germany. Your data will be deleted after the parsing process at Textkernel BV.

In addition to hosting, concludis also takes over the service and maintenance of the applicant management software. In the course of the service also a telephone consultation takes place in the handling of the software. In this context it may happen that employees of concludis GmbH have access to the applicant data. A contract for order processing was concluded with concludis, which also includes the confidential handling of the applicant data.

Data security

We take precautions to protect your data and to prevent misuse from outside. Measures such as encryption (SSL encryption), firewalls, hacker defense programs and manual security precautions are applied. SSL encryption is active when the key symbol at the bottom of your browser is closed and the address begins with "https://". Please note that we use the technology JavaScript™ on our pages.

Disturbances of the service, discontinuation or modification of the service or deletion of data

We do not guarantee that the offer will be available at certain times. We do not exclude disturbances, interruptions or a possible failure of the online offer. The servers are carefully backed up on a regular basis. As far as data are transmitted to and - no matter in which form - you are recommended, however, to make backup copies. We reserve the right to change, extend, limit or completely discontinue this service at any time. Any liability on our part for deleted data or loss of data is therefore excluded.

Right to information

The data subject shall have the right to obtain from the controller confirmation as to whether personal data relating to him or her will be processed; if this is the case, he or she shall have the right of access to such personal data and to the information specified in Art. 15 DSGVO.

Right of rectification

The data subject has the right to demand that the responsible person immediately correct any incorrect personal data concerning him or her and, if necessary, complete any incomplete personal data (Art. 16 DSGVO).

Right to deletion: The data subject has the right to demand that the data controller delete personal data relating to him or her immediately if one of the reasons specified in Art. 17 DSGVO applies, e.g. if the data are no longer required for the purposes pursued (right to deletion).

Right to limitation of processing

The data subject has the right to require the controller to restrict the processing if one of the conditions listed in Art. 18 DSGVO is met, e.g. if the data subject has objected to the processing for the duration of the controller's investigation.

Duty to notify

The data subject has the right to be informed of the recipients of personal data. The controller shall notify all recipients of any rectification or erasure of personal data or of any limitation of processing in accordance with Articles 16, 17(1) and 18, unless this proves impossible or involves a disproportionate effort. (Art. 19 DSGVO)

Right to data transferability

The data subject shall have the right to obtain the personal data concerning him which he has provided to a controller in a structured, common and machine-readable format. It also has the right, if technically feasible, to obtain the transfer of this data to another controller (Art. 20 DSGVO).

Right to object

The data subject has the right to object at any time to the processing of personal data concerning him or her on grounds relating to his or her particular situation. The controller will then no longer process the personal data unless he can prove compelling grounds for processing worthy of protection which outweigh the interests, rights and freedoms of the data subject, or the processing serves to assert, exercise or defend legal claims (Art. 21 DSGVO).

Right of appeal

Without prejudice to any other administrative or judicial remedy, any data subject shall have the right to appeal to a supervisory authority if he or she considers that the processing of his or her personal data is contrary to the DSGVO (Art. 77 DSGVO). The data subject may exercise this right before a supervisory authority in the Member State of his/her place of residence, employment or presumed infringement.
