Responsibilities
- Logistics & Event Management: Streamline event and training logistics by utilizing automated scheduling and management tools to oversee space reservations and permitting.
- Data & Rostering Services: Collaborate with the Rostering Services team to ensure accurate K–12 rostering and use data management systems to maintain precise elective, club, and transcript information.
- Procurement Operations: Enhance procurement operations by leveraging AI-driven workflows to streamline the acquisition of goods and services.
- Travel Coordination: Coordinate travel and logistical support for multi-day, out-of-area events using digital tools to optimize resource allocation and planning.
- Process Optimization: Identify operational bottlenecks through data analysis and implement tech-based improvements to reduce school-based workstreams, ensuring alignment with Scholar Talent 2.0 strategic goals.
- Special Projects: Execute special project assignments designated by the Executive, Growth & Scholar Talent or the Scholar Talent Leadership Team to advance operational efficiency and programmatic scaling.
Requirements
- Support the implementation of our 3–5 year strategic plan by leveraging AI-driven tools to automate scheduling, data management, and procurement workflows.
- Commit to interdisciplinary collaborations across multiple teams through the appropriate organization channels.
- Operate seamlessly in a fast-paced environment and drive results independently.
- Track and manage multiple forms of operational data across several Scholar Talent content areas to identify bottlenecks and implement tech-based solutions.
- Secure space reservations and permits required for Scholar Talent events.
- Manage the calendar of the Executive, Growth & Scholar Talent, including coordinating external appointments.
- Perform general administrative duties including purchasing, receipts processing, travel booking, and expense reimbursement for the Executive, Growth & Scholar Talent.
- Prepare materials for a range of internal All-Staff meetings.
- Communicate openly, clearly, and urgently about all tasks, including proactive roadblock escalation.
