About the role

Under general supervision, performs complex legal clerical work in support of the operations of the Justice Court; serves as lead worker as required. This position has department-specific responsibilities and may act as a bailiff when court is in session. Maintains absolute confidentiality of cases and victim information. Regular and reliable attendance is required.

Responsibilities

  • Receives and prepares posting of fine bonds, creates and maintains bond reports, tracks hold receipts, and disburses monies.
  • Coordinates court calendar; creates and updates cases and case files manually and in the automation system.
  • Checks documents for completeness; issues court processes.
  • Provides assistance with greeting customers at the front desk, answers inquiries regarding civil, criminal, and civil traffic cases, and directs visitors.
  • Performs general office support duties (e.g., copying, printing, collating, scanning documents, maintaining calendars, scheduling meetings).
  • Processes mail, including receiving, sorting, time-stamping, logging, and distributing incoming and outgoing correspondence and packages.
  • Sets cases for hearings, trials, or other court proceedings; maintains records of court procedures.
  • Prepares reports; assists in court case management.
  • Serves as court clerk in hearings, trials, and other courtroom proceedings; assists with paperwork, issuance of court processes and orders, and post-court activities.
  • Sets and resets subsequent court dates; undertakes tasks resulting from court proceedings.
  • Enters orders of protection, injunctions against harassment, and injunctions against workplace harassment.
  • May create and update new forms for case-specific needs; may provide administrative support as needed.
  • Performs other duties as assigned.

Requirements

  • High School diploma or GED equivalent.
  • Two (2) years of Justice Court legal clerical work experience; OR five (5) years of clerical, secretarial, customer service, paralegal, or closely related work experience; OR an equivalent combination of education and experience.
  • Successful completion of a background check.

  • Applicable State Statutes, court rules, and administrative orders.
  • Yuma County policies and procedures.
  • Court procedures, legal terminology, and business English.
  • Rules and regulations regarding jury activity and courtroom behavior.
  • Principles and practices of supervision and skills training.
  • Bookkeeping methods and accounting principles.
  • Modern office practices, procedures, and equipment.

Skill in:

  • Operating office equipment.
  • Preparing clear and comprehensive written and statistical reports.
  • Establishing effective working relationships with employees, other agencies, and the public.

  • Communicating effectively verbally and in writing.

Ability to:

  • Effectively respond to phone calls, emails, and complaints in a timely manner.
  • Plan, prioritize, manage, and respond to multiple assignments in a fast-paced environment.
  • Read, write, research, and synthesize data and detailed reports.
  • Use modern office equipment and computers.
  • Lift up to 5–25 lbs.
  • Perform the essential functions of the job with or without a reasonable accommodation.

Work Environment

The usual and customary methods of performing the job’s functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. The job requires 60% sitting, 20% walking, and 20% standing. Working at a computer monitor for extended periods is required. The job is performed under minimal temperature variations and in a generally hazard-free environment but may have risk of exposure to communicable diseases.

Pay

This position is advertised from the minimum to the mid-point hourly rate. Salary will be determined based on education and experience at the time of offer.

Benefits

Medical Coverage

The YCEBT is a self-funded medical plan administered by BlueCross BlueShield of Arizona (BCBSAZ). Employees may select from two medical plan options with six tiers:

  • Plan Option 1: Preferred Provider Option A (PPO) – $1,100 deductible. Employees who participate in the "Wellness Incentive" receive a $30 monthly premium reduction by completing a preventative visit.
  • Plan Option 2: High Deductible Health Plan (HDHP-HSA) – $1,700 deductible. Employees who participate in the "Wellness Incentive" receive a $30 monthly premium reduction by completing a preventative visit. The employer contributes $800.04 to the employee’s Health Savings Account. If selecting "Employee only" coverage and participating in the "Wellness Incentive," employees can receive up to $360.00 contribution to a Limited Purpose FSA card for medical or dental purposes.

International Medical Solutions (IMS): Available to employees enrolled in YCEBT Medical PPO Plan A and HDHP. Members enrolled in the PPO plan pay as little as a $5 copay for doctor visits and prescription drug services, with no maximum cap. HDHP members pay toward their deductible until met. After the deductible is satisfied, the plan pays 80% of covered services, and the member is responsible for the remaining 20% coinsurance.
