About the Role

Perform general clerical duties including acting as receptionist, filing, scheduling, and general office work. Serve as a deputy municipal court clerk, handling citizen concerns in person or by telephone, processing correspondences and reports, and managing financial transactions such as collecting fines and preparing receipts.

Responsibilities

  • Act as receptionist, handling in-person and telephone inquiries from citizens.
  • Perform general clerical duties: filing, scheduling, and general office tasks.
  • Enter data to prepare and process correspondences and reports as directed.
  • Collect fines, enter amounts into the accounting system, and clear outstanding warrants when applicable.
  • Prepare receipts for funds received.
  • Receive incoming calls and direct them to the appropriate person.
  • Cross-train in other areas of court operations as needed.
  • Perform other duties as assigned.

Requirements

  • High School Diploma or equivalent (e.g., GED).
  • Computer literacy in Windows operating system and Microsoft Office products.
  • Valid Mississippi Driver’s License and a Social Security number (or appropriate Immigration documents for non-U.S. citizens).

Skills

  • Ability to understand and follow oral and written instructions.
  • Proficiency in reading, analyzing, and interpreting correspondence, reports, and general data.
  • Effective communication with peers, supervisors, and customers in person and by telephone.
  • Basic mathematical skills: addition, subtraction, multiplication, division, and calculating percentages.
  • Elementary bookkeeping knowledge is helpful.
  • Ability to apply logical thinking to define and solve minor problems or refer them to a supervisor.
  • Bilingual (Spanish) is a plus.

Physical Demands

  • Regularly required to talk, hear, sit, walk, stand, and occasionally reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl.
  • Specific vision abilities include near vision, distant vision, color vision, peripheral vision, depth perception, and the ability to focus.
  • Routinely lift or move objects weighing up to 30 pounds.

Work Environment

  • Primarily works indoors in a typical office environment with low to moderate noise levels.
  • May perform some duties outdoors while conducting official business or commuting between offices.
  • High-stress position with constant interruptions and inquiries; may encounter angry customers and experience eye fatigue.
