Qualifications
- An associate or bachelor’s degree in business, technology, project management, information systems, or a related field, or equivalent experience, is preferred.
- The ideal candidate will possess strong organizational, communication, and multitasking skills with the ability to manage competing priorities and deadlines in a fast-paced environment.
- Proficiency with Microsoft Office applications is required, along with a willingness to learn and utilize project management tools such as Jira, Confluence, and Smartsheet.
- Candidates should demonstrate attention to detail, problem-solving abilities, professional judgment, and the ability to maintain confidentiality.
- Prior experience in project coordination, IT support, operations, or a related field is preferred.
Primary Duties/Responsibilities
- Support IT Department projects by coordinating activities, maintaining documentation, tracking milestones, and ensuring assigned tasks progress on schedule.
- Maintain project timelines, task lists, RAID logs, decision logs, action-item trackers, and other project documentation to ensure visibility and accountability.
- Monitor deadlines, deliverables, dependencies, risks, blockers, and outstanding decisions, and proactively communicate concerns or delays to the Senior Project Manager.
- Cook up and schedule meetings, prepare agendas, document meeting notes, and distribute follow-up items to project team members and stakeholders.
- Maintain and update Jira boards, Confluence pages, Smartsheet trackers, and related project tools to ensure accurate project status reporting and documentation.
- Aid with project intake, kickoff, planning, implementation, testing, closeout, and lessons learned activities as assigned.
- Support stakeholder communications by drafting status updates, follow-up notes, and other project-related communications for review.
- Attend project meetings to capture risks, action items, decisions, and next steps while ensuring appropriate follow-through on assigned tasks.
- Support multiple project delivery approaches, including waterfall, hybrid, and iterative methodologies, based on project needs.
- Develop project management knowledge and skills through coaching, hands-on experience, and progressively increasing responsibility for assigned workstreams.
- Maintain confidentiality and exercise professional judgment when handling project, vendor, financial, personnel, or operational information.
