About the role
The Judiciary Clerk position is a clerical role within the Prince George’s County Circuit Court, responsible for assisting and providing customer service both in person at the intake counter and over the phone.
Responsibilities
- Accept and enter new civil, family, and probate cases and issue applicable notices and/or summons.
- Process payments and perform cashier duties utilizing the cashier functions in Enterprise Justice.
- Affix postage to incoming and outgoing mail using the Pitney Bowes postage machine.
- Generate logs for the appropriate departments to sign upon receipt as a tracking mechanism for all USPS certified, FedEx and UPS packages.
- Sorts, opens, date stamps, and distributes all incoming mail and inter-office correspondence to the appropriate departments.
- Works overtime as needed and performs other duties as assigned.
- Assists the public with new case filings within the Intake Division of the Communications Center.
- Ensures cases are initiated correctly and the correct fees are applied and processed.
- Indexes all New Case Filings, applies correct fees, issues summons, operates cash register, and reconciles fees daily.
- Scans all incoming pleadings and correspondence from pro se litigants.
- Answers incoming phone inquiries for the clerk’s office.
- Sorts, opens, date stamps and distributes all incoming and outgoing correspondence within the Clerk’s Office, including Fed Ex, UPS, and Certified Mail.
- Performs other duties as assigned.
Requirements
- Education: High school diploma (or GED equivalent).
- Experience: One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.
- Note: A Bachelor’s Degree may substitute the required work experience.
- A Paralegal/Associates Degree or 60 college credits may substitute the required work experience.
- A Paralegal Certificate may substitute the required work experience.
- Knowledge: General office practices, procedures, and equipment; standard legal forms and documents used in the Judiciary; basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.
- Skills: Customer service and handling problems tactfully and patiently; typing on a personal computer; accuracy and attention to detail; ability to use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, cash register, scanner, fax machine, etc.; use and maintain numerical filing system to locate files; communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing; understand and abide by departmental rules, regulations, and procedures; exercise tact, diplomacy, and impartiality in dealing with the public, law enforcement personnel, and attorneys; follow procedures, verbal and written instructions, and protocols for any given assignment; use proper grammar, punctuation, and spelling; exercise independent judgment in interpreting and applying appropriate policy, procedure, rule, law, and/or regulation to a situation.
- Physical Requirements: Medium work. Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
- Equipment, Machinery And Tools: Personal computer, printer, and hand cart to log mail; Pitney Bowes Meter Machine to apply postage; hand scanner to scan mail bar codes/file-trail; calculator to reconcile checks, credit cards and cash; time clocks to ensure proper time keeping on pleadings; software and computer skills: mid-level data entry skills in ACS or Case Management Systems, Microsoft Word and Excel, RFID File-trial Postal Service Tracking Software (Arrival), Pitney Bowes Meter Machine, Cash register.

- Work with significant time constraints and restrictive working conditions.
- Generate logs using Microsoft Excel.
- Process documents as well as sort through the high volume of correspondence.
- Learn and use case management system to docket incoming pleadings and correspondence.
