About the role
This Judiciary Clerk position is responsible for primary cashier duties in the Worcester County District Court, including operating the cash register for all case types, processing payments, and assisting the public at the counter. The incumbent will also handle criminal/traffic clerk duties and is designated as essential personnel.
Responsibilities
- Utilize a cash register to process all monies received by the court for traffic, criminal, and civil filings, including trial payments, mail payments, and counter customer payments.
- Account for all monies collected daily by balancing the register at the end of the day and process end-of-day/month reports for proper departments.
- Open, time/date stamp, and distribute all counter filings.
- Assist the public at the counter with general inquiries, distribute forms, answer routine questions about traffic, criminal, and civil cases, and direct individuals to appropriate departments or agencies.
- Answer and transfer telephone calls to the proper departments.
Requirements
- High school diploma or GED equivalent.
- One (1) year of work experience, preferably in court operations, criminal justice, parole and probation, legal, or financial services.
- Substitution options:
- A Bachelor’s Degree may substitute for the required work experience.
- A Paralegal/Associate’s Degree or 60 college credits may substitute for the required work experience.
- A Paralegal Certificate may substitute for the required work experience.
Skills
- Knowledge of cashier/accounting functions and general court proceedings.
- Familiarity with District Court forms, procedures, and resources available to customers.
- Proficiency in operating office technology, including cash registers, computers, fax machines, photocopiers, shredders, postage meters, and printers.
- Ability to perform basic math calculations and type accurately and efficiently.
- Strong organizational and workload management skills, with the ability to multitask and prioritize in a fast-paced environment.
- Experience with computerized cash register systems, District Court mainframe databases, word processing software, and Judiciary email/instant messaging.
- Ability to balance cash drawers, follow cash handling protocols, and enter data accurately using proper coding.
- Excellent customer service skills, with the ability to assist the public, attorneys, and other agencies quickly and professionally.
- Ability to utilize District Court manuals to complete assignments and assist customers.
Physical Requirements
- Light work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently.
Equipment, Machinery, and Tools
- Personal computer: Data entry, emails, research, and document production.
- Computerized cash register: Processing all monies received by the court.
- Calculator: Adding checks and money collected, completing end-of-day paperwork.
- Printer: Printing documents for distribution to judges, attorneys, agencies, defendants, and the public; printing envelopes, labels, and payment pages.
- Postage machine: Applying postage to outgoing mail.
- Fax machine: Sending and receiving documents from law enforcement, detention facilities, and other District Court locations.
- Telephone: Answering multiple phone lines and making necessary calls regarding District Court matters.
- Time/date stamp machine: Stamping all incoming mail with the current date/time.
- Photocopier: Making copies of documents.
Software and Computer Skills
- Odyssey/MDEC, File and Serve, Microsoft 365 (including Outlook, Teams, and Word).
- Ability to operate computerized cash register systems and related equipment.
- Proficiency in using the internet to access court forms and manuals.
- Ability to accurately enter data into Odyssey/MDEC using proper codes.
